The Administrative Assistant provides confidential administrative and secretarial support to designated Leader(s) and manages the day-to-day administrative operations to ensure accurate and timely delivery of administrative services.

What you’ll do

  • Maintain a coordinated and up-to-date calendar for the designated Leader’s appointment schedule by determining urgency and nature of requests, scheduling and making necessary arrangements and resolving time conflicts.
  • Coordinate appropriate travel and accommodation for designated Leader’s attendance at conferences and meetings, confirming reservations and establishing an itinerary.
  • Respond to verbal and written communication and liaise internally and externally to share information, clarify details, and ensure follow-up by relevant personnel on emergent issues.
  • Produce timely, accurate and well formatted documents using various word processing, spreadsheet and presentation software packages. Enter and collect data and compile relevant statistical information and reports. Draft agendas, gather background materials, attend and record proceedings, prepare and distribute minutes, and take follow-up actions. Maintain a bring-forward system.
  • Assist in budget development and monitor expenditures, authorizing expense reimbursements and invoicing up to a pre-determined limit, developing an expenditure tracking system for those expenditure invoices qualifying for reimbursements from various third parties.
  • Complete purchase requisitions/online purchasing and forward for processing, ensuring invoices are authorized and submitted for payment.

  • Graduation from a formal secretarial program, related experience.

Are you a highly organized person with strong administrative skills? The Accounts Payable Clerk provides a variety of office administration, and financial support services.

What you’ll do

  • Generate, review, or amend financial documentation (invoices, miscellaneous requisitions, etc.), ensure appropriate approvals (i.e. goods and services and expense authority signatures), issue documents to parties such as the contractors or vendors.
  • Review and verify invoices as well as other financial documents such as travel claims/vouchers/credit card purchases, personal reimbursements, and petty cash claims for accuracy and completeness (i.e. goods and services received signature; backup documents, correct rates, prices and charges, etc.), and makes changes as required. Code or check codes, obtain necessary signatures/approvals, and forwards to the appropriate body for payment or reimbursement.
  • Monitor expenditures against approved budget limits and provide financial information to the Managers and Director on year-to-date expenditures including commitments such as invoices and purchase orders; identifiy issues and advises the Manager of same; record and track month end accrual information from vendors for the department.
  • Perform administrative duties such as responding to inquiries, screening incoming materials, sorting, prioritizing, logging, and distributing incoming/outgoing correspondence. Respond to financial queries and problems such as delayed or duplicate payments, rate changes and recording errors. Investigate issues, initiate corrective action and follows up.
  • Provide financial support/reconcile accounts such as accounts payable, coding and processing business expense forms and invoices, issuing and reconciling purchase orders and card expenditures; check accuracy and completeness of financial documentation.
  • Facilitate effective triaging of correspondence, determination of appropriate action, and timely follow up as appropriate.
  • Maintain office and department supplies according to pre-determined re-order levels and arranges for maintenance/repair of equipment.
  • Produce reports, correspondence, presentation materials, spreadsheets, and memos. Maintain and update various computer databases.
  • Generate standard and adhoc reports as required. Provide assistance in researching and compiling data for specialized reports or issues and/or creates spreadsheets to track data as required.
  • Generate and complete procurement forms for supplies, services, and equipment for the department. Ensure appropriate approvals (e.g. goods and services and expense authority signatures), issue and/or directly submit via online ordering system.

Job Description

The Communications Specialist assists the Manager in planning, coordinating and implementing the annual communications plan for BCCHR including identifying issues, coaching media spokespersons, planning media events and public and communication relations, social media, production and coordination of internal and external publications, and the coordination of special events and external affairs. In addition, the Communications Specialist contributes to web site and intranet development.

What You’ll Do

    • Participates as a member of BCCHR’s Communications team to ensure quality and consistency in writing, production and delivery of messages throughout BCCHR. Works collaboratively with other members of the Communications team to respond accurately and strategically to local media and community inquiries and issues.
    • Researches, writes, edits and produces diverse communication materials such as articles, newsletters, bulletins, web publishing, news releases, speeches, briefing notes, brochures, pamphlets, backgrounders, special features, presentations, social media content and other materials, in collaboration with other Communication team members, on issues of importance to both internal and external stakeholders. Maintains currency of contact lists such as media and other partner organizations and stakeholder groups.
    • Co-ordinates the production and distribution of external publications such as annual reports, patient information booklets and brochures through methods such as determining content in conjunction with the Manager and other Communications staff, researching, writing articles, and working with others such as designers, photographers and printers.
    • Develops and maintains excellent relationships with the media. Initiates and manages pro-active media relations activities to highlight BCCHR achievements and enhance reputation with stakeholders.
    • Addresses media relations issues including responding to requests for information and interviews. Addresses and triages queries from the public and other stakeholders, often acting as first point of contact for external audience members.
    • Monitors and collects news coverage items about BCCHR and its related concerns. Distributes news coverage items to various audiences, identifies potential areas of issues or crisis management and alerts the appropriate parties.
    • Develops and maintains a database of media inquiries and key spokespeople, and prepares regular reports such as activity reports.
    • Provides media training for BCCHR spokespersons.
    • Contributes to the development and content management of BCCHR’s web site and social media accounts.
    • Co-organizes and manages events such as campaigns, conferences, and lecture series.
    • Writes and presents public speaking engagements to external stakeholders, as requested.
    • Liaises with stakeholders, including management team members, directors, managers, physicians and other experts within BCCHR to develop a broad understanding of important issues, challenges and strategic directions being undertaken. Fosters open dialogue between key stakeholders and communicates messages clearly and concisely to promote awareness of initiatives and contribute to a positive reputation for BCCHR and PHSA.
    • Participates as a member of various committees throughout BCCHR and PHSA to provide and collect information regarding communication issues.
    • Shares knowledge with fellow team members and others internal and external to BCCHR for the purposes of communication, high performance teamwork and continual quality improvement to support an innovative culture and a learning organization.
    • Participates in the implementation of quality improvement programs to ensure services are provided in the most efficient and effective manner by ensuring standards are aligned with the organization’s mission and strategic plan and the standards set by the Canadian Council on Health Services Accreditation (CCHSA).
    • Maintains an awareness of new developments and trends in corporate communications through literature review, contact with peers at other organizations, industry advisor groups, professional associations and attendance at seminars, workshops and education programs.

  • A level of education, training and experience equivalent to an undergraduate degree in a relevant discipline such as a Degree in Journalism, Public Relations or Communications, combined with at least five years of experience.
