The opportunity:

We are looking for a Maintenance Technician. The Maintenance Technician will report to the General Manager and will contribute and participate in activities related to the preventative, corrective, and emergency maintenance of the property, environmental, health and safety, and other special initiatives, with a goal of creating a high level of customer service.

What you will do:

  • Perform and complete preventative, routine, and emergency maintenance and work orders, as necessary.
  • Assist with month-end duties and responsibilities together with the general manager including:
    • Pre-inspection of vacant suites
    • Ensure suites are “rent ready” and the timely attention to suite turnover work
  • Review work schedules, prioritize work orders, and ensure resident issues and service requests are addressed withing 24 hours.
  • Perform daily inspections, interior and exterior, document all findings, and conduct vacant suite inspections.
  • Ensure all tools and cleaning equipment is maintained and serviced regularly.
  • Be familiar with all the emergency operation of electrical, elevator, boiler, fire panel and safety systems, mechanical systems, emergency generator, sprinkler, and timer systems.
  • Complete minor maintenance and electrical maintenance as required (i.e., clogged sinks, toilets, flood clean up, lighting etc.).
  • Accompany vendors and contractors while work is being completed.
  • Inspect and check readings and temperature gauges in the mechanical rooms daily.
  • Ensure the condition and cleanliness of the entire site, common areas, roof, exterior building, garbage areas etc., including litter pick-up, sweeping, pressure washing, or other duties as assigned.
  • Ensure operations records, files and documentation are maintained accurately, timely and in accordance with established procedures.
  • Clear snow, apply ice melt, and clear sidewalks and entrance and common areas as needed.
  • Recommend type and quantity of maintenance supplies to be stocked.
  • Emergency response and on-call duty, as required.
  • Uphold and report breaches of the rules and regulations of the property.
  • Communicate with the General Manager, team members and site staff on an ongoing basis.
  • Other related duties as required.  May require heavy lifting.

Customer Service

  • Maintain good resident relations, address and document resident complaints and any emergencies in the building which occur during, and after office hours.
  • Further support efforts to ensure resident satisfaction and service delivery through prompt service, ongoing communication and follow up.
  • Interact with residents in a diplomatic manner.

Sustainability

  • Embrace and proactively supporting BentallGreenOak’s culture of environmental sustainability, and corporate and social responsibility.
  • Promptly respond to environmental hazards.
  • Promote and ensure energy and utility efficient maintenance of the building.

Who you are:

  • Experience – General related experience preferred. An awareness of occupational health and safety management practices.
  • Computer Skills – Entry level skills in Microsoft Office, a general comfort using a smart phone.
  • Relationship Skills – Ability to communicate in English effectively and professionally, both oral and written, superior ability to develop and sustain cooperating working relationships with staff, contractors, the public and especially residents.
  • Organizational/Multi-Task Skills – Ability to allocate one’s time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities, adapt to new ideas and constant changes. Willing to be and available for after-hours callouts in emergency or unavoidable situations.
  • Police Clearance – A criminal verification check is required for employment.

The opportunity:

Located in the heart of the financial district at the Sun Life Building in downtown Montreal, this position will be a part of the Property Management team supporting the building and will report directly to the Property Manager. We are looking for someone who will bring a strong sense of commitment and dedication in providing administrative, customer service and accounting support to our clients and members of the team. What you will do:

Administrative Functions

  • Provide support to the Property Manager and office staff for all aspects of day-to-day activities for assigned buildings in portfolio.
  • Produce, write, revise, layout and translate various business documents in French and English.
  • Interact, communicate, and correspond professionally and effectively with all stakeholders, whether they are clients, tenants, suppliers, professionals, visitors or maintenance staff.
  • Coordinate the logistics of meetings and committees related to building management, prepare and distribute documents related to these meetings/committees, attend, take notes and follow up on decisions made during these meetings/committees.
  • Participate in the inputting of certain data related to the building’s operation.
  • Update and fill, both paper and electronic, of the various files and reports.
  • Maintain and update tenant information, including phone numbers, contact names and emergency contact information.
  • Maintain and update approved contractor list.
  • Liaise with contractors and building operating staff.
  • Maintain minutes of regular staff meetings, providing support and follow up.
  • Embrace and pro-actively support BentallGreenOak’s culture of environmental sustainability, and corporate and social responsibility.
  • Produce PowerPoint presentations.
  • Produce comparative Excel spreadsheets.
  • Assist with special projects, tenant events and other office functions as required.
  • Assist with documentation of capital projects.
  • Ensure all office equipment is in proper working order and arrange for repair/servicing of any malfunctioning equipment as required.
  • Other tasks and responsibilities as may be required from time to time.

Accounting Functions

  • Assist with accounts receivables when required.
  • Address vendor payment inquiries.
  • Maintain a petty cash fund.
  • Regularly process VISA transaction statements for corporate cards.
  • Prepare expense reports.
  • Help compile year-end accruals and collect supporting documents.

Who you are:

  • Minimum 3 year’ related administrative and accounting experience; property management experience is considered an asset.
  • Post-secondary education
  • Superior oral and written communication and presentation skills; an ability to develop and sustain cooperative working relationships at all levels; ability to exercise confidentiality; displays enthusiasm and has a desire to learn; team player.
  • Strong organizational/multi-tasking skills – ability to allocate one’s time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes.
