Job Description

Brookfield is seeking an Administrative Assistant to support multiple teams across different business units. The ideal candidate will be a self-starter who is detailed oriented, proactive, and professional. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure while remaining positive, flexible, resourceful, and efficient is key this role. The demonstration of a high level of professionalism and confidentiality is crucial.

Job responsibilities include, but are not limited to:

General Administrative duties:

Calendar management and scheduling
Expense report receipt tracking and report submission
Invoice management and processing
Work effectively without constant supervision
Promptly respond to requests with accuracy and a courteous demeanor
Manage document preparation for internal and external meetings, training, etc.
Mailing, scanning, copying and binding
Provides administrative support to other Private Equity groups when time warrants, during absences, holidays etc.
Assist other members of the admin staff with work overflow
Modify PowerPoint presentations including the incorporation and formatting of charts, graphs and images
Candidate Profile:

2-3 years administrative assistant experience
Demonstrated ability to handle confidential information appropriately
Proficient in MS Office, including Word, Excel, PowerPoint and Outlook
Experience with Concur is a plus but not required
Extremely organized with the ability to anticipate requests and be proactive
Excellent written and verbal communication skills
Ability to stay focused, efficient, and effective in managing multiple priorities
Strong interpersonal skills and good judgment
Team player – provide support to other groups when time warrants, during absences, holidays etc.

The Director, Finance will be part of the Brookfield Infrastructure Group, responsible for Finance and Operations for the Infrastructure Private Funds.

The Director will be responsible for leading a team who provides key financial reporting & operations deliverables for Senior Management and other stakeholders across a large fund or several smaller funds. The Director, Finance role is a highly visible position that will frequently interact with senior management and operating assets to support and resolve various challenging topics, as well as drive continuous improvement across all deliverables. The role will gain excellent exposure to senior leadership levels across financial reporting, treasury, operations, tax, legal and overall business planning functions. Responsibilities:

Team Management

  • Train, mentor and motivate a team of 3-6 finance professionals
  • Review work of team members and provide feedback for improvement
  • Monitor and analyze team performance in order to achieve performance targets
  • Plan resources in line with business requirement and demands

Manage investments

  • On boarding and off boarding investments – including review of organizational structures, review of fund flow in close coordination with tax, open bank accounts, review loan agreements, review cash management agreements, review closing statements, purchase price allocations, onboard third-party property Directors, etc.
  • Review the entire investment operations and reporting process and provide guidance to drive quality and consistency in deliverables
  • Review various financial information and analytics to ensure accuracy of reporting as well as optimal performance
  • Manage investor capital calls and distributions

Reporting – Fund reporting and investment property reporting

  • Review financial statements and investor reporting prepared in accordance with US GAAP – Investment Company Accounting and IFRS
  • Manage the external audit and tax reporting process with big 4 firms

Financial, Planning & Analysis

  • Review valuation models
  • Work with asset management team to develop an annual budget as well as a 5 year business plan
  • Review regular forecasting/re-forecasting and related analytics
  • Monitor liquidity and assess capital needs for the business

Assist with value-add initiatives

  • Assist as needed with due diligence related to refinancing, dispositions, development and re-development
  • Identify areas for process improvement and enhancement; design and implement automation improvement
  • Assist with system enhancements with focus on making scalable for future growth and increase efficiency, including acting as the key finance liaison and training staff and third party accounting teams

Qualifications

  • University degree in Business or Finance
  • Recognized professional accounting designation (CPA, CA)
  • Minimum of 8 years of progressive work experience with a mix of public accounting and industry experience; experience in infrastructure and/or private funds is considered an asset
  • Knowledge of IFRS and US GAAP – Investment Company Accounting in relation to private fund investments
  • Strong financial systems experience, including advanced Excel and PowerPoint skills
  • Highly analytical with great attention to detail
  • Demonstrated leadership ability, a team player with positive attitude and pro-active approach to work

Requirements:
• 2+ years of Accounts Payable experience with coding of invoices, preferably at large organizations
• Strong foundation of a windows-based accounting software (preferably Microsoft Dynamics)
• Can effectively use MS Office Excel and Word
• Strong organization skills and able to effectively prioritize a workload under tight deadlines
• Strong interpersonal skills, is professional and can develop effective working relationships with the team

Position Summary

As a member of the HR Service Desk (HRSD), the Analyst, HRSD will primarily be responsible for providing day-to-day HR administrative support in the various HR functions including HRIS administration and reporting, recruitment, onboarding, job change and terminations.  The primary responsibility is to ensure quality customer service to both employees and the larger global HR team.  This role supports global transactions for Brookfield Asset Management and affiliate organizations.

Responsibilities

  • Provide Tier 1 and Tier 2 Workday HR transactional customer service support to employees and various teams (HR, Payroll, Benefits) globally
  • Respond to requests generated via tickets, email inquiry, chat or telephone inquiries in a timely and consistent manner, ensuring all requests are logged into the case management system
  • Provide transactional assistance within Workday for new hire, job change, one-time payment, leave and termination business processes
  • Provide employee assistance with self-service transactions within Workday
  • Partner with North American colleagues to execute priority transactions
  • Update and maintain SOPs, training materials and Quick Reference Guides, as needed
  • Identify opportunities to improve processes, recommend solutions or alternate methods to meet requirements
  • Follow up on outstanding tickets to ensure requests and issues are resolved in a timely manner
  • Assist with and support HRS annual processes eg. Annual Talent Cycle, Open Enrollment, RRSP etc

Qualifications & Requirements

  • Customer service background and orientation – client-service oriented
  • Post-secondary education
  • Minimum 3 years of administrative experience in Human Resources capacity in a professional services environment
  • Experience with an HRIS (Workday experience is an asset)
  • Experience supporting various levels of employees
  • Ability to work with Excel to review and audit data using formulas such as Vlookups and pivot tables
