Job Description

Guides, supports, coaches and mentors a team of project managers and business analysts to develop and enhance new services.

Foster relationships with multiple cross business unit stakeholders to build viable and scalable solutions across national value chains and positively influence project outcomes and support the program managers with VP and director level escalations.

Effectively oversee the PMO Project management framework practices to ensure all project scopes, budgets, risks, quality metrics, schedules, and benefits are holistically managed with alignment of the Executive Sponsor, Project Owner, and applicable Program/Project Steering Committee and Portfolio Oversight Committees.

Continually monitor industry “best practices” in regard to portfolio, program, project management to ensure opportunities to improve the PMO processes are considered and evaluated.

Create and enhance portfolio, program, and project management support practice frameworks, processes, tools, reporting, and templates. This includes developing a prioritization model for projects with an effective communication plan.

Enterprise Data Architecture

Leads a team of Data architects and Institutional Research specialists responsible for developing Data governance models, defining best practises for data modelling and business intelligence services across all Enterprise applications.

Provide guidance and mentorship to staff on defining data management best practices and on defining architecture and integration requirements for systems.

Develops strong relationships with stakeholders and business units and provide guidance on defining data management strategies including master data management, data governance, data quality, data security, reporting, analytics, and service options (e.g. cloud-based vs on premises hosting solutions).

Prioritizes requests to ensure alignment with institutional priorities.

Translates client and institutional requirements into accurate reporting requirements and guides the development of reports to meet those requirements.

Assists and leads change management with data integrity issues related to information in various Enterprise applications.

Application Development

Manage all aspects of the Enterprise Application Landscape to ensure information integrity, availability and performance of systems and enabling the establishment of a working, optimized and stable environment for the users.

Manage escalated problems and incidents to effect rapid restoration of services.

Ensures appropriate resource allocation to prioritized projects and provides supervision and guidance to area staff for project execution.

Collaborates with business units to conduct departmental business process reviews, system enhancement implementations and upgrades.

Maintains currency in Enterprise application developments and innovations; identifies potential enhancements various departmental applications.

Facilitates centralized documentation of existing ERP procedures documentation and acts as a resource to users to develop and document new and revised procedures.

Participates on internal committees and represents Emily Carr University on external committees including the provincial ERP shared services group.

Performs other related duties as required.
Required Qualifications

An undergraduate degree in information technology (ideally software focused), project management, or a related discipline.
Project Management Professional (PMP) or Program Management Professional (PgMP) certification required
ITIL Foundations Certification, Organization Change Management (OCM) certification, Lean Six Sigma, Management of Portfolios (MoP) and/or PRINCE 2 certifications ideal, but not required.
Minimum five years’ experience in higher education in learning technologies, administrative systems and institutional research.
Extensive knowledge of, and experience with, ERP systems (preferably Colleague), Customer Relationship Management, and business intelligence.
Project management experience including business process reviews, budgeting and training development.
Experience in a leadership role in a comparable environment, including financial management, strategic and project planning, and process improvement initiatives.
End-to-end knowledge of all aspects of program/project management processes and best practices, including Organizational Change Management, project procurement, vendor management and operational excellence strategies within a fast-paced business environment.
Advanced skill in the use of project management software, tools and techniques.

Expert knowledge of program/project delivery and acceptance processes.

Strong leadership, analytical, communication, written, interpersonal, and negotiation skills are required.
High degree of organization and ability to multi-task and shift priorities.
Exercises excellent judgement and demonstrates strong decision-making skills.
Ability to use a collaborative approach to produce effective results across multiple and diverse stakeholder groups at all levels of an organization.
Strong interpersonal, collaboration, and communication skills with the ability to establish rapport and effective working relationships with students, staff, faculty, and external contacts.
Excellent negotiation and conflict resolution skills, including demonstrated ability to successfully manage all forms of conflict (e.g . interpersonal, resourcing, priorities, circular dependencies)
Ability to interpret corporate strategies and translate them into practical project plans.
Ability to exercise good judgment, problem-solving skills and maintain confidentiality.
Strong project management skills including the ability to analyse business processes, plan and organize systems implementations, coordinate users and document project artefacts.

Job Description

  • Coordinates procedures and systems for web based registration process for Continuing Studies. Recommends and coordinates University database (Colleague) usage for Continuing Studies, overseeing the functionality of myEC web registration in conjunction with Colleague.
  • Liaises with Colleague Coordinator and other users regarding application of database to CS environment and needs.
  • Maintains the day-to-day web registration system; troubleshoots and responds to student queries and problems; responds to web registration telephone and email queries for CS registration.
  • Assists with special registration issues as they occur. Coordinates the clean-up of student records at the end of each semester and on an ongoing basis throughout each term.
  • Trains staff on usage and troubleshooting of myEC web registration system utilizing Colleague. Trains new and temporary staff as required.
  • Provides general program information to the public, students and University community regarding admission, registration, tuition fees, and transcripts for all Continuing Studies courses and programs; refers complex issues to appropriate staff.
  • Provides students with electronic registration statements, confirmations of enrolment and course completion letters.
  • Processes registration and credit card payments for all Continuing Studies courses and programs and provides general administrative support as required.
  • Processes withdrawals, faculty waivers, gift certificates and vouchers and prepares and delivers documentation to complete refund and payment processes with Finance.
  • Tracks outstanding tuition payments and amounts owing to students, with appropriate follow-up with students and Finance.
  • Provides current and past-term information and documentation to Financial Services for year-end reconciliation processes.
  • Maintains all procedures as up-to-date and creates new ones as needed. Updates and maintains course and student records information and files for non-degree courses and programs, including course start files, course/section materials list, and other files as required.

Required Qualifications

  • Grade 12 plus a business management, office administration or other related two-year certificate.
  • Minimum two years’ relevant office and administrative experience, including records/registration experience in a post-secondary institution.
  • Or an equivalent combination of education and experience.
  • Experience related to art and/or design continuing studies an asset.
  • Considerable experience in office procedures, large database programs, and other computer software, including Word and Excel.

Job Description

Applications are invited for a Systems Administrator, Windows to be responsible for the administration, development, maintenance, and support of enterprise Microsoft technologies, including Windows servers, Active Directory, SQL databases and SharePoint Services. The Systems Administrator ensures the efficient operation of the Microsoft components of University infrastructure, including cloud-based infrastructure. The Systems Administrator is responsible for providing Tier 2 technical support for the University community. They are also responsible for technology planning and providing back up support for other functions in Information Technology Services as needed.

Pay Grade L ($62,415 to $66,821 per annum)

Some Typical Duties

• Deploys and manages all Microsoft Servers and related systems and services within a VMWare environment. Administers and maintains all servers and services based on Microsoft enterprise technology including Active Directory.
• Provides technical support to users and others in ITS. Provides Tier 2 Help Desk support on security, Active Directory, applications, and other technical matters
• In conjunction with other members of the ITS team, configures and administers servers, including security patching, analysing system logs, operating system updates, user account management, and monitoring performance and capacity.
• Works with the internal community to implement, propose and provide applicable fixes and enhancements to SharePoint websites and other services hosted on Microsoft servers.
• Works with vendors on troubleshooting or creation and implementation of new features.
• Develops and maintains SharePoint sites and security settings. Provides recommendations for additional architecture as needed for test and production environments.
• Administers all SharePoint security settings.
• Creates and maintains supporting documentation for server/software implementation details, maintenance processes, and troubleshooting techniques.
• Participates in regular team status meetings and provides input on development and administration activities.
• Acts in a backup capacity during the absence of other ITS staff as required.
• Performs other related duties as required. Required Qualifications
• Bachelor’s Degree in computer science or a related field.
• Minimum five years’ technical experience with Microsoft enterprise products. Some software experience required.
• OR an equivalent combination of education and experience.
• Demonstrated experience with SharePoint Designer, InfoPath, Visual Studio, Power Shell, VBS cript.
• Microsoft Certification Solutions Associate (MCSA) Windows Server 2012/2016 or equivalent.
• Knowledge of IT security best practices, processes and tools.
• Microsoft Certification Solutions Expert (MCSE) SharePoint certification or equivalent is an asset.
• Experience with Linux server environments is an asset.
• Experience working in an ITIL based service environment is an asset
• Strong customer service skills with the ability to communicate and deal effectively with students, staff, and faculty.
• Excellent technical writing, interpersonal and communication skills.
• Proven system diagnostic and problem-solving skills.
• Proficient in C# and .Net using the Visual Studio development environment.
• Proficient with Windows Operating System including Windows Server and related technologies.
• Proficient with Microsoft SQL Server, IIS, Exchange, Active Directory.
• Comfortable working with virtualized environments (VMWare).
• Ability to work with considerable independence as well as productively and supportively in a team environment.
• Ability to keep current in area of expertise.
• Ability to multi-task and prioritize work between project assignments and support issues.
