As an integral member of the team, you contribute to the goals of the Advancement Department by overseeing data and records – including, but not limited to, donation and biographic data, address and contact details, education history and school engagement – to ensure the accuracy and completeness of data pertaining to the School’s stakeholders, including alumni, friends, corporations, foundations and other organizations. You provide lists, reports and data files to Advancement, the Dean’s Office, Finance and other departments within the School as required, and on special request. You have superior data entry skills with a demonstrated high level of accuracy and take pride in your strong customer service skills to handle enquiries and resolve issues in a professional and timely manner, exercising good judgement and tact. You are highly motivated and enjoy working independently however you also have a strong record of teamwork. You exercise your leadership abilities in the management and supervision of a Data Integrity Administrator. What you’ll do:

Records Management

Perform data entry and records updates, as required, via batch or individual transactions.
Develop and execute proactive strategies and procedures to constantly improve the integrity of the data in the database. With the Director, Advancement Operations, work to develop reports and statistics to monitor data integrity, database changes, address accuracy and the interrelationships of data.
Anticipate upcoming demands of the team and work with the Director, Advancement Operations to set deadlines and expectations. Assist with the preparation of annual planning goals, taking the broader goals and objectives of the Advancement Department into account, and tracks the ongoing performance of the Records area.
Partner with Western University Advancement Operations on data integrity and data sharing initiatives to achieve consistent and reliable data whenever possible between the Ivey Business School and Western central records.
Gift Administration

Ensure donations are recorded accurately in the database and remitted to Western Advancement Operations in a timely manner.
Coordinate with Development to track gifts to appropriate campaigns, solicitations, and credit prospect managers as needed.
Develop and execute systems and procedures to ensure all aspects of pledge and gift transactions are accurately recorded in the School’s database, including the supervision of all gift data entry, pledge management processes, and gift reconciliation.
Prepare and consistently review all written documentation on gift administration.
Work closely with Western Advancement Operations, specifically Gift Processing, to ensure accurate gift and pledge processing and coding, ensuring account reconciliation is achieved.
Data Extraction and List Generation

Oversee the appropriate provision and release of alumni and donor data to requesting departments, internal stakeholders, and alumni, ensuring strict adherence with internal data governance policies and external privacy legislation.
Query and export alumni and donor data with varying degrees of complexity.
Prepare data files to support Advancement strategies, including but not limited to, select mass communications, fundraising goals and alumni engagement.
Collaborate with Director, Advancement Operations to develop reports which support data integrity, financial reconciliation and the transfer of data to Western University.
Run standard reports, as requested, for the Advancement team, Finance, the Deans’ Office and other departments as needed.
Supervision & Training

Serve as primary provider of training and ongoing education for Advancement staff on database use and policies. Partner with staff whenever possible to share best practices for gift administration and records management.
Manage one full-time Data Integrity Administrator and one temporary Student Records Assistant, including recruitment, hiring, onboarding, professional development and performance reviews.
What you have:

Education & Experience

A university degree in a related field, with 2-3 years of experience working in a high-volume records management, information management or gift administration environment.
Experience in a fundraising environment with a good understanding of philanthropy is an asset.
Skills & Abilities

Experienced with relational database software, electronic records management, Microsoft Windows, Microsoft Office, specifically Excel and Access and Outlook.
Demonstrated data entry skills with the ability to process information with high levels of accuracy.
Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner, exercising good judgement and tact.
Excellent verbal and written communication skills and confidence dealing with all levels of an organization.
Excellent interpersonal skills with the ability to coach team members as well as support internal/external clients.
A strong record of teamwork with the motivation and ability to work independently with little supervision.
Ability to work in a fast-paced environment, meet tight deadlines and adapt to growth and change.
Demonstrated analytical ability with a working knowledge of general accounting.
Established knowledge of relevant privacy legislation, the Donor Bill of Rights, and charitable giving guidelines.
Proven leadership skills with the ability to coach and develop shared vision to lead high performing staff an asset.
Knowledge of Millennium (Abila), Salesforce and/or Blackbaud would be an asset.
Knowledge of Crystal Reporting, Tableau or Power BI would be an asset.

The maximum salary for this band is approximately 20% higher than the top end of the hiring range.

What you’ll do: 

Project Planning and Coordination 

  • Works with the Associate Director, Event Services and key clients within the School to plan, develop and execute internal and external events.
  • Prioritize multiple tasks and projects based on strategic priority and event project plan deadlines, ensuring the event project plans remain on schedule and proactively involve the Associate Director, Event Services and program teams/leaders when needed.
  • Executes the details outlined within the project plans for all events and meets all timelines as defined.
  • Contributes to the development and implementation of the event communication plan for students and for our recruiting and alumni partners and the broader Ivey community; through mediums such as emails, social media, and event websites.
  • In consultation with the AD, Event Services and internal clients, sources venues to meet and enhance the event structure, review contracts and all event details pertaining to the event, including but not limited to hotel, catering, and special event and transportation contracts.
  • Provides detailed instructions in advance of events to all service providers and ensures contracts are accurately noted to include pertinent details for the event.
  • Supports the creation and printing of all materials needed for events, including: case competition materials, nametags, conference packages, name plates, speaker/judge gifts, schedules, judges packages, PowerPoints, participant surveys etc.
  • Promptly respond to phone/email inquiries from students/faculty/guests regarding event-related questions.
  • Builds and manages relationships with internal and external stakeholders.

Event Support (Virtual and In-Person) 

  • Provides on-site support throughout the setup, execution and wrap up of all events to ensure that events run effectively and efficiently and that all stakeholder objectives are met.
  • Provides on-site direction during events to all service providers involved (e.g. IT, CTS, catering, facilities), whether onsite at Ivey or at an off-site venue, and manages any on-site incidents as required.
  • Creates and hosts virtual events using primarily Zoom and Teams.
  • Offers direction to all event volunteers on creating a positive guest experience for all involved.
  • Ensures all guests/sponsors/alumni and internal clients are hosted with professionalism and a high degree of service throughout the event and have a positive experience and impression of the school.
  • Manage any last minute changes of guests, venue/facility and catering details and communicate these changes directly to those who it will impact

Cross-Enterprise Engagement 

  • Collaborates with AD, Event Services and event owner to ensure a solid understanding of the event timing, stakeholder needs and event objectives specific to each event.
  • Ensures a solid understanding of sponsor agreement (where applicable) and that all needs of sponsors are accurately executed throughout each event.
  • Works closely with AD, Event Services and external facing teams across Ivey programs to address feedback and look for solutions to issues including IT, facilities, personal service and access points that are inhibiting event success.

Event Budget Coordination and Tracking 

  • Contributes to the generation of event budgets, including; sourcing and requesting quotes for venues, catering, transportation and other required event related items.
  • Monitors event budgets, working with vendors to negotiate pricing or suggesting alternative solutions to deliver a great event experience within budget.
  • Partner with AD, Event Services for event budget assignment and allocation including approvals for any expenditures that fall outside of the agreed upon budget plan
  • Accountable in ensuring the event budgets remain on track, post event invoice payments are processed and final budget reports are shared.

Required Education and Experience:

  • A University degree or relevant college diploma.
  • Minimum of 3 years of experience in a client facing role that includes event management and project management experience.

What you’ll do: 

Financial Accounting and Reporting:

  • Manage accounting staff and oversee all finance functions for Ivey Business School and provide support for Ivey Group of Companies (IBS Asia & IBS Foundation).
  • Develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, credit control, payroll and petty cash.
  • Responsible for the month-end and year-end close process.
  • Develop and maintain timely and accurate financial statements and reports that are appropriate for the users and in accordance with generally accepted accounting principles (GAAP)
  • Document and maintain complete and accurate supporting information for all financial transactions.
  • Review monthly results and implement monthly variance reporting
  • Develop, implement, and ensure compliance with internal financial and accounting policies and procedures
  • Develop, implement, and document business processes and accounting policies to maintain and strengthen internal controls.
  • Coordinate the provision of information for the annual financial audit and liaise with the external auditors as necessary.
  • Responsible for ensuring a successful annual financial audit; maintain relations with external auditors and investigate their findings and recommendations.
  • Develop and implement policies and procedures for review with CFO to ensure that personnel and financial information is secure and stored in compliance with current legislation
  • Assist the CFO with financial reporting as required for Board meetings, Advisory Board, and Annual General Meetings.
  • Provide informative financial analysis to the CFO in order to provide financial guidance to the Dean and the Executive Committee of the School.
  • Interpret and ensure compliance on University financial policies and procedures, collective agreements, legislation and external guidelines on issues relating finance, accounting, taxation, human resources, and payroll.
  • Develop business processes, systems and tools to increase operational efficiency.
  • Develop and maintain sufficient internal financial controls and accounting procedures to safeguard the financial assets of the school and related companies.

Payroll and Administration

  • Oversee all payroll functions to ensure employees are paid in a timely and accurate manner, statutory deductions and tax filings are accurate and timely.
  • Ensure adherence to payroll legislations and approve payroll related documents.

Budget and Forecast:

  • Plan, coordinate, and execute the annual budget process, ensuring compliance with all budgetary requirements.
  • Establish guidelines for budget and forecast preparation and support the preparation of multi-year financial plans with department leaders that are realistic and reflective of department’s strategic plan and financial goals for the school.
  • Review financial reports to identify forecast and budget variances and make recommendations based on departmental goals and objectives.
  • Provide training and guidance to department leaders with financial and budget responsibility.

  • Ability to present financial data using detailed reports and charts to audiences without a financial background

  • Experience in month-end and year-end close processes.

Typical Hiring Range: Based on the salary band for this role, external candidates can expect to be offered a starting salary in the range of $87,600 – $116,800. When determining salary we consider the market, candidate experience, as well as internal equity. Once in the role, successful candidates will have the opportunity to progress through the range and beyond the hiring range of the band, through annual increases. The maximum salary for this band is approximately 25% higher than the top end of the hiring range.

  • Collaborate with the Director, Human Resources to ensure alignment and integration of the Talent strategy and programs with the overall School strategy.

  • Advise on, create and lead recruitment strategies for sourcing top talent.

  • Work with various stakeholders to support the development of Ivey’s employer branding, ensuring our employer brand is as well-known as our programs.

  • Consult with Western Human Resources on all UWOSA performance and/or conduct concerns

What you have: 

Required Education and Experience:

  • Bachelor’s degree in Human Resources, Business, Organizational Development or other related discipline, ideally combined with a Human Resources designation such as CHRL or CHRP (or working towards completion).
  • Minimum five years of human resources experience, including developing recruitment and sourcing strategies, full life cycle recruitment, data analytics and metrics creation, and coaching and/or advisory experience.

  • Setup and ensure Audio/Visual Technology systems are operating normally and tested on a regular basis.
  • Determine the required course of action when resolving incidents (both issues and questions), providing expert advice and troubleshooting on technology, procedures, and standards.
  • Provide professional customer service and maintain customer satisfaction by ensuring timely and efficient response, completion, and follow-up to all incidents.

  • Work with the Director, IT Systems and Support Services to prioritize unresolved issues.

  • Create accounts and manage permissions for various IT services accounts requiring secure access with a high level of quality and confidentiality
  • Maintain the security and integrity of accounts.
  • Install, test, repair, refurbish, replace, and relocate desktops, laptops, printers, audio/visual and other devices/peripherals efficiently and with a high degree of quality and service.
  • Working with the Director, IT Systems and Support Services, implement and test solutions for various IT Projects, ensuring high quality standards are maintained; projects may include audio/visual room upgrades.
  • Determine necessary technologies, configurations, and parameters when developing solutions for IT Services projects.
  • Represent the needs of stakeholders when discussing IT projects with other IT staff members.
  • Create and update documentation to reflect new software/services or changes to existing software/services, contributing to the growth and maintenance of the IT Knowledgebase (including web resources, social media, etc.).

  • Crestron Digital Media Certified Technician designation required within 1 year of employment provided by Ivey.
