POSITION OVERVIEW                                                                                                      

JLL is currently seeking a dynamic individual for the role of Brokerage Coordinator to provide reliable, timely, efficient support to our Industrial Team in Vancouver. The position will be based out of our Vancouver office and entails working with a diverse group of internal and external stakeholders at all levels of the organization. The individual will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of support services to the brokerage team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.

RESPONSIBILITIES

  • Partner with Broker Lead to translate leadership business objectives into strategies, then execute those strategies
  • Assist in the deal cycle process as required: prepare and/or edit offers and letters of intent; track offers in progress and follow through on execution; coordinate flow of documentation and information between company and clients
  • Support all property marketing activities (e.g. utilizing InDesign templates for brochures, signage, post cards, CIMs etc.; utilize Eloqua to deploy property marketing email campaigns; use social media channels like LinkedIn and update listings on property marketing website(s); coordinate with photographers, virtual tour providers, and other third-party vendors as needed; etc.)
  • Perform SAR & Dealio-related tasks (e.g. prepare report updates; database entry/maintenance; create, prepare, review, and/or maintain cheque registers; ensure accurate and timely invoicing; follow up with stakeholders as required; etc.)
  • Prepare and remit applicable brokerage authority reports updates (e.g. mandate register; transaction register; etc.)
  • Create, review, and/or prepare market surveys, tour books, and presentations
  • Liaise with research team to create demographic materials
  • Prepare, review, and/or edit applicable documents (e.g. legal paperwork; mandates; commission agreements; offers; request for proposal; presentations; pitches; etc.)
  • Prepare and remit expenses in an accurate and timely manner (e.g. monthly Profit & Loss Reports; Broker Expenses; Training Expenses; etc.)
  • Plan, coordinate, and/or facilitate client & broker events, as required and in collaboration with administrative team
  • Actively participate in team workflow management to ensure collaboration and connectivity within the business line and with other business lines regionally and nationally
  • Lead the coordination of signage needs for the team (e.g. creative; production; vendor management; tracking; etc.)
  • Proofread applicable documents as required (e.g. quarterly reports; white papers; RFPs; etc.)
  • Keep up to date on training for and champion the use of JLL technologies
  • Maintain required competencies around all required software including, but not limited to: Adobe Creative Suite (includes InDesign, Photoshop, Illustrator, and Acrobat Pro), Microsoft Office Suite, Dealio, CoStar, Blackbird, Google Earth, Exact Target, CRM, Spider, Eloqua, and others as required
  • Coordinate accounts payable with Finance Team
  • Partner with Marketing & Brokerage Support Team Lead, Design Hub, Brokerage Coordinators, Marketing Coordinators, and peers across the country to execute best-in-class property marketing plans​
  • Attend and participate in all Marketing and Brokerage Support meetings led by National Marketing and/or the Marketing & Brokerage Support Team Lead
  • Oversee and/or provide administrative services to support the sales cycle, as required (e.g. miscellaneous project management; team task coordination; etc.)
  • Any other reasonable duties and responsibilities assigned

QUALIFICATIONS

  • Bachelor’s Degree preferred, but not required
  • 3+ years of relevant office experience or a combination of education and experience
  • Experience in the real estate sector and/or lease administration preferred
  • Advanced Microsoft Office (Word, Excel, PowerPoint & Outlook) is required
  • Experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop) is an asset
  • Experience with email campaign execution considered an asset
  • Project management experience is considered an asset
  • Demonstrated capacity to multi-task in a fast-paced environment

Operations Manager

SPECIFIC ACCOUNTABILITIES

You will report directly to the General Manager, Guildford Town Centre . Primary responsibilities will be to ensure the entire property, both buildings and land, is maintained to standards.

Main duties include:

  • Perform daily inspections of buildings and land, ensuring the General Manager and Property Manager are kept updated on any discrepancies and the remedy;
  • Monitor, mentor, coach and develop direct reports, ensure adherence to policies and procedures, provide recognition, evaluate and provide feedback on performance, address performance concerns and resolve problems;
  • Document and arrange for appropriate remedial work using the company purchasing/procurement guidelines;
  • Prepare and execute yearly expense budgets, including recoveries;
  • In collaboration with procurement negotiate and manage all service contracts;
  • Oversee the budgeting and management of all operations contracts;
  • Develop and manage Major Capital Expenditures program;
  • Prepare monthly forecast, variance reports and complete year end expense accruals;
  • Maintain and monitor budget control books, including controlling the purchasing of supplies;
  • Develop and manage energy management program including metering systems;
  • Manage, oversee and approve all utilities expenses;
  • Manage all aspects related to the tenant water and hydro metering and billing;
  • Develop and manage all aspects of sustainability, including recycling program, organic waste and diversion targets set for the property;
  • Prepare purchase orders and get competitive quotes when required pursuant to the purchasing guidelines;
  • Lead their team in providing the highest levels of service to all customers with whom they interact, whether internal or external, with the goal of continuously improving the customer experience;
  • Champion programs for increasing employment engagement, communications and people development;
  • Oversee and monitor customer service levels provided and implements continuous service improvements;
  • Implements improved operational processes that enhance capabilities to meet/exceed service standards;
  • Ensures organizational adherence and accountability to standard operating procedures;
  • Oversee all health and safety requirements;
  • Manage tenant construction together with the Tenant Coordination group.

Key requirements

  • Excellent people leadership abilities and a dedication to continuous improvement;
  • Approachable, positive demeanor with a hands-on and team-oriented work style;
  • Post-secondary education is preferred, ideally in mechanical/civil engineering. Courses in building services or the technical trades will also be considered;
  • Facilities Management Administrator (FMA) designation is an asset;
  • Ability to apply successful initiatives utilising up-to-date industry technologies;
  • Proven analytical and problem-solving skills. Ability to quickly understand and identify issues and propose solutions;
  • Proven ability to effectively prioritize workflow to ensure deadlines are met in a fast-paced environment. Able to adapt to shifting priorities;
  • Takes initiative, is proactive in their work, and results-oriented;
  • Ability to manage and adapt to change;
  • Extensive experience working with budgets and understanding financial statements;
  • Solid contract management and computer skills (Excel, Word, JDE, P2P, Unifier (Oracle) and some database exposure);
  • Knowledge of LEED and BOMA standards, and an environmental focus;
  • Must be a resourceful team player, with a strong commitment to customer service and the ability to effectively balance numerous priorities;
  • Strong communication skills with the ability to communicate proficient in the English language (verbal and written);

Responsibilities

  • Closely track, record and update data on the Vancouver industrial real estate market, including data related to properties, leases, tenants, availabilities, developments, sales and owners, the local economy, demographics and company performance, among other aspects of the market
  • Work with research and other team members to compile market information and statistics on the local commercial real estate market; conduct research and collect information on market fundamentals, ownership, tenants, and economic analysis
  • Conduct research at a designated level to support pitch materials, publications, reports and deliverables to the applicable brokerage team; assist brokerage professionals through the completion of market surveys and data analysis
  • Manage and update property database with ability to integrate new team initiatives and information updates
  • Track market activity including sales comparables, lease comparable and available properties
  • Contribute to designated local market research requests – market snapshots, market overviews, quarterly market slide decks, topic specific research to support pitches and brokerage opportunities
  • Coordinate and manage daily, weekly and quarterly research tasks
  • Contribute to special initiatives, such as- annual/semi-annual publications, whitepapers, and quarterly reports (Industrial Insight) as required
  • Any other reasonable duties and responsibilities assigned

Qualifications

  • Post-secondary education in Economics, Statistics, Computer Sciences, Commerce Urban Economics, Urban Planning, or Urban Geography
  • Proven research and report drafting skills
  • Strong presentation skills
  • 1+ years of relevant experience or combination of education and experience
  • Excellent Excel skills with strong proficiency with all applicable software packages including but not limited to MS Windows, Outlook, PowerPoint and existing database experience
