Academic Coordinator – Two Positions

Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)

Reporting to the Program Manager, the Academic Coordinator is responsible for the overall day-to-day operations of a slate of programs within a program cluster, and will be responsible for the coordination of the delivery, maintenance and development of the assigned programs and courses of study within the College. This may also include, but is not limited to, participation on College committees and external committees as they relate to the institution and program offerings. The Academic Coordinator conducts training on MITT procedures and processes, assists program improvement initiatives, and coaches and supports new and current faculty, providing a bridge between all MITT departments and the faculty, students and programs.

Responsibilities include but are not limited to:

Program Delivery and Operations

  • Coordinate program delivery schedules (on-campus and online).
  • Work with academic delivery staff (i.e. instructors, instructional assistants) to ensure programs have necessary supplies and resources; submit requests to purchase supplies for programs.
  • Communicate with instructors and provide support to monitor student performance;
  • Arrange for academic advising for students; send correspondence on lower-level issues (i.e. ineligibility to continue in program; absence threshold); meet with students where appropriate and escalate to manager or student services as appropriate.
  • Ensure procedural fairness and consistency with regard to interpretation of MITT policy.
  • Manage student requests for re-application into programs according to policy guidelines.
  • Collaborate with internal and external partners on program delivery operations and ensure delivery standards are met.
  • Support program teams to continuously monitor and evaluate delivery outcomes and identify opportunities for improvement.
  • Create documentation for tracking projects, including successful operating procedures and lessons learned for future project growth.
  • Coordinate documentation required for program registration and records to the Registrar’s Office including program course listings and online/blended learning requirements.

Recruitment & Human Resources

  • Support and participate in the recruitment and selection processes of new academic hires; liaise with manager and instructors to organize technical testing as required.
  • Prepare and submit appropriate hiring forms.
  • Track term start dates, end dates, term renewals and staffing exits, ensure appropriate paperwork is submitted to People Services.
  • Coordinate onboarding and training of new academic hires.
  • Support and coach instructors on academic administration and procedural matters (i.e. CAMS, D2L use and documentation; student exits; course outline completion).
  • Track professional development requests and support the scheduling of internal professional development for program teams.

Program Development and Continuous Improvement

  • Identify program structure, policy, and curriculum gaps to align with institutional and academic vision.
  • Identify opportunities to streamline administrative inefficiencies and work with affected stakeholders to roll out approved changes.
  • Support student success by analyzing recorded student performance to determine aspects of curriculum delivery that may need improvement.
  • Assist in research, consultation, and data analysis contributing to program continuous improvement.
  • Assist in writing, editing, and finalization of SOIs and Proposals for program changes and additions; contribute ideas and analysis to the program development process.
  • Assist in the review and preparation of documents related to revision or creation of policies and procedures.
  • With support from program teams and the Centre for Learning and Innovation, develop and refine curriculum mapping of program streams, including mapping to external employment and qualifications frameworks.
  • Support program teams in curricular and operational refinements to enhance pathway partnerships and support the development of required pathway/articulation agreements.
  • Support documentation for Accreditation, re-accreditation, and other certification processes as identified by the Program Manager.
  • Work closely with the program team, Program Manager, Centre for Learning and Innovation staff, and industry experts in program reviews to ensure that courses and programs are relevant and respondent to the needs of the business community.

 Collaboration and Partnerships

  • Work with other post-secondary institutions and school divisions with similar program areas to share non-exclusive and non-proprietary curriculum, as well as teaching and learning tools and best practices.
  • Liaise with internal and external stakeholders to continuously monitor stakeholder needs and provide timely feedback.
  • Consult regularly with the appropriate Program Manager and provide status updates on activities.
  • Build effective relationships across various functional areas and with partners.
  • Liaise with professional industry associations and community partners.

Required Qualifications and Experience:

A combination of related education and experience may be considered.

  • Degree or diploma in a relevant field to the assigned program cluster
  • Degree or diploma in education (e.g. adult education, technical/vocational education) preferred
  • 3+ years’ experience designing and implementing classroom-based learning solutions with an understanding of trends in secondary and post-secondary education;
  • Sound knowledge of adult learning principles and program planning and development;
  • Demonstrated experience in one or more fields within the assigned program;
  • Demonstrated experience in a project-based environment, able to manage multiple tasks in a rapidly changing, deadline-oriented environment;
  • Technology savvy and intermediate level of experience using Microsoft Office suite and Outlook, Adobe, Internet;
  • Ability to work well under pressure, manage change, and contribute to shared solutions for complex problems;
  • Excellent written and verbal communication skills;
  • Creative problem solving skills and critical thinking skills;
  • Strong leadership skills and the ability to develop internal and external partnerships;

Preferred Qualifications and Experience:

  • Experience in post-secondary instruction considered an asset.
  • Experience with one, or more, of the following: international, secondary/post-secondary, adult, or special needs students.
  • Experience working within a learning management system.
  • Project management experience.

Working within the External and Corporate Affairs department, the Manager of Student Recruitment ensures that MITT’s domestic and international recruitment teams meet and exceed student recruitment targets. This position is responsible to build, implement, and measure strategic recruitment strategies that attract a diverse student base to MITT. The successful candidate is also responsible to ensure mutually beneficial relationships exist with commission-based agents, members of the global representatives’ team, and contractors engaged to advise MITT’s international recruitment efforts.

Responsibilities include but are not limited to:

Staff Management and Development

  • Provide strategic and inspirational leadership, as well as oversight and direction to international and domestic student recruitment staff in accordance with MITT policies and procedures.
  • Foster a spirit of teamwork, accountability and unity among business unit members that allows for disagreement over ideas, conflict and expeditious conflict resolution, and the appreciation of diversity as well as cohesiveness, support, and working effectively together to enable each employee and the business unit to succeed.

  • Identify and implement domestic recruitment strategies that motivate Manitoban or Canadian students to choose MITT.
  • Strategically deploy MITT student recruitment resources locally, nationally, and internationally, including travelling and participating in relevant meetings and events, as approved in an annual travel/marketing plan.
  • Maintain a high level of knowledge of current educational trends and demographics locally, nationally and internationally.

Budget Control and Analysis

  • Administer the area budget, make financial projections, and report on income and expenditures.
  • Evaluate return on investment on budgeted expenses (i.e. travel).

Agent Management (International)

  • Establish and maintain agent screening and maintenance processes to mitigate reputational risk, while also providing agent support and services that reflect industry best practices and facilitate the productivity of the partnerships.
  • Ensure agents know MITT’s expectations on ethical behaviours and practices.
  • Support existing on-shore and off-shore agents with timely responses to inquires.

Business Development Support

  • Build and maintain an active network of key contacts in the community, partner institutions and organizations—such as professional associations and business/government—to promote the reputation of, and add value to, the Institute.
  • Organize recruitment events, agent appreciation event, agent FAM tours, and student support activities.

Marketing Support

  • Advise marketing on domestic and international trends.
  • Liaise with Events Officer, Marketing and Communications to determine and implement events such as Open House, webinars, and other event-based recruitment efforts and participate in these events.
  • In partnership with Marketing and Communications, determine the need for international recruitment marketing and promotional materials, including web, PowerPoint presentations, print materials, video, etc.
  • Advise on development of culturally appropriate marketing assets for key recruitment markets.

 Required and Preferred Qualifications/Experience:

  • Post-secondary education within the field of Marketing, Public Relations or Business Administration or Student Services. A combination of education, training, and experience may be considered.

Required

  • Five to seven years of related experience, including experience in international relationships or engagement, recruitment, operations, leadership, systems development, personnel/staffing management, and program development; or an equivalent combination of education, training, and experience.
  • Highly developed interpersonal skills, including leadership, negotiation, influence and relationship building.
  • Significant experience and successful results in student recruitment and business development.
  • Excellent knowledge of agent (client) relations, marketing, communications, and student recruitment theories, best practices and strategies.
  • Excellent knowledge of policies and regulations related to student recruitment, transition, development, academic programming, and services at an institutional level.
  • Proficient in the use of enterprise level systems (i.e., SIMS, CRM) as well as standard office systems (word processing, spreadsheet, presentation, and database applications) and business process design.

Responsibilities include but are not limited to:

  • Counsels and supports students to support their settlement process, educational and employment goals; facilitates adherence to MITT’s expectations of student roles and responsibilities.
  • Advocates on behalf of students and creates a safe environment to limit and or reduce obstacles that hinder their language learning process.
  • Supports students as identified by instructors, coordinators, or the manager to address student needs, by making referrals to applicable external resources and identifying emerging trends within student success.

Associate, People Services

Location: 7 Fultz Campus and/or remotely, as required

Reporting to the Manager, People Services, the Associate maintains effective administrative systems, procedures, and practices that supports the work of the People Services team; provides senior level administrative support to the Manager, Senior Consultant & Consultant of Talent Acquisition & People Services; plans and organizes activities related to People Service initiatives such as orientation, learning and development, etc; and carries out responsibilities that contribute to the accomplishment of MITT practices and objectives that will provide employee-oriented, high performance quality, productivity and standards.

Responsibilities include but are not limited to:
Support PS Manager, and PS Consultants with People Services functions and provides senior administrative support. This includes but is not limited to drafting all staff email communications, letters, etc.

Create efficient and effective administrative processes that are user-friendly as it relates to People Services.

Assist in the recruitment process and act as the back-up to the Consultant, Talent Acquisition & People Services.

Update internal and external organizational charts

Maintains up to date knowledge of benefit plans and acts as the main contact for People Services, answer employee questions as it relates to benefit plans.

Create and maintain up-to-date employee personnel files including filing and archiving.

Maintain and update databases, lists, and tracking systems This includes following up with manager for outstanding position profiles and sending out reminders to managers on conducting performance evaluations.

Issue Substitute Teacher and Casual Instructor renewal forms and ensure documents are returned. Maintain and update Substitute Instructor list.

Prepare HR metrics and human resource reports for the department by assembling, preparing and analyzing data.

Work with Consultant, Talent Acquisition in collecting and submitting documents for Limited Teaching Permits and submit to the Certification Branch.

Maintain and edit Volunteer and Employee Handbooks as needed.

Oversee the MITT Learns and People Services email account and provide general information and assistance internally and externally over the phone, by email and in person.

Create forms/templates, letters, and reports as necessary. Update and edit after revisions or a change of formatting.

Assist with research, projects, and compliance initiatives regarding People Services issues.

Assists in the development and implementation of HRIS programs.

Send PS-related news and updates to External Relations department for the internal staff newsletter.

Manage LinkedIn Learning which includes communicating with staff on opportunities and act as the administrator,

Support Health & Safety learning by supporting Safety Hub. Add and edit users, organize learners into groups, assign permissions and recommend content. Provide usage reports upon request.

Maintain Outlook employee information including position titles, location, report, structures and staff photos.

Maintain office supplies for the department and order accordingly.

Required Qualifications and Experience:

Post–secondary education in Business Administration, Human Resource Management or a related field. A combination of education and experience may be considered.

A minimum of two years administrative related experience providing intermediate to senior level administrative support, preferably in a Human Resources environment.

Advanced skills in Microsoft Outlook, Word, Excel, PowerPoint and other software such as Adobe Acrobat DC.

Experience working with databases and tracking information.

Experience in drafting and reviewing intermediate to senior level documents

Experience in creating efficient and effective administrative processes.

Ability to perform a diverse range of clerical and administrative tasks efficiently with accuracy.
