The Team

We are looking to recruit a client portfolio manager to join the firm. In this role, you will be responsible for managing specific client portfolios. The role is both business and client facing and will require frequent contact with key stakeholders, legal teams, colleagues and clients.

The client portfolio manager will work with partners, matter teams, and clients to manage all aspects of the relationship for several client accounts. This includes the day-to-day operational management for a portfolio of clients, and constant communication with partners and various cross-functional teams. This position will also develop support models and processes for the assigned clients and conduct regular meetings with all stakeholders, including interaction with various client contacts. This position will collaborate with pricing, legal project management, client matter intake, finance, business development and the firm’s client innovation team to develop and implement a successful client management support framework.

The role reports to the associate director, client programs and forms part of the wider client services function. This role can be located in any of our Canadian offices, with a preference to be in either Montréal or Québec City. Bilingualism is required.

The Role

The detailed responsibilities include but are not limited to:

Develop client portfolio plans, documentation and infrastructure to support the client account, including preparing and reviewing financial analysis and client metrics and identifying business development opportunities
Drive the implementation of the plan with the relationship partners and the wider client team
Collaborate with our library to research the client and industry to identify issues that we should help them address (through face-to-face meetings with client contacts, networking and use of research prepared by business development and library colleagues)
Work with business services teams to identify the most appropriate value-added services to take to your clients
Initiate and manage regular client team meetings that are productive, action oriented and focused on priorities and client plans to implement the agreed client strategy
Prepare and manage reporting requirements for key client accounts leveraging internal resources to meet reporting needs
Develop a holistic picture of the firm’s financial investment in the portfolio and performance against client satisfaction goals. This includes proactively identifying client relationships and initiating client development activities, and having a fundamental understanding of the organization and client touch points
Create metrics and analytics that demonstrate value delivered to the client during the client life cycle
Participate in developing and implementing client-level reporting
Prepare for and participate in client review meetings and relationship planning activities
Help ensure adherence with client outside counsel guidelines
Financial and Client Management

Helping relationship partners and core team to understand and analyze financial reports, identifying concerns and opportunities to grow the relationship
Advising the client team on the delivery of agreed service standards and on all administrative aspects of the relationship, especially for legal panels
Ensuring that all financial and billing data is available for client meetings, client team meetings and for client planning purposes
Keeping on top of pricing structures and trends and sharing this with the client team
Assisting with responding to panel bids when required
Liaising with the data and finance teams to complete any reporting requirements
Working with the client services marketing and business development operational team
Skills and Experience Required

Excellent client service orientation and mind-set
Minimum 5-7 years of experience working in a similar capacity in a legal or professional services firm
Bilingualism (French and English) required
Minimum bachelor’s degree required
Highly organized with the ability to prioritize and manage multiple tasks effectively in a fast-paced environment

Job Description

The Function

IT Service Management operates across the firms globally shared and regional IT services with an established set of globally common process including change, incident and tools including ServiceNow™. Adopting an ITIL-led model, the function is responsible for the strategic development and management of the firms ITSM frameworks, processes, tools, reporting and controls focused on optimising end to end service delivery.

The Role

The Hardware Asset & Configuration Management Senior Analyst is responsible for establishing and maintaining the policies, tools, data and processes for optimised common configuration and service asset management. Consumers of the configuration service (e.g. CMDB) include shared and regional captive delivery, outsource providers and other IT functions. The position entails ensuring IT service assets and configuration items (CI’s) are managed effectively and efficiently – to improve and maintain service performance, quality, cost and stability.

Responsibilities:

  • Own the common Global Service Asset and Configuration Management (SACM) policy, process and standards
  • Ensure all IT service functions are compliant, provide regular reporting via dynamic dashboard
  • Ensure the identification, control and administration of all Hardware and Software CI’s in the Configuration Management Database (CMDB); lead and implement tooling across discovery, capture, quality and control
  • Work with Service/Product owner to map services within ServiceNow and assure accuracy, quality and control
  • Proactively engage with delivery teams to provide an effective SACM ‘service’ including CI data and CMDB capabilities and service visualisation
  • Own CMDB data performance quality, accuracy, providing regular status reporting
  • Manage SACM continual service improvement initiatives aligned with wider CSI programme
  • Attend Change Advisory Board (CAB) to assure and approve CI’s impact assessments
  • Ensure the CMDB enables effective change process management
  • Own, communicate and deliver the SACM annual roadmap
  • Collaborate with external service providers to assure alignment and conformance with the firms SACM processes and procedures managing any non-conformity
  • Perform regular audits to ensure data quality in the CMDB is consistent and accurate
  • Maintain accurate configuration information on the historical, planned and current state of services and other CI’s, including attributes and service relationships.
  • Validate third party service reports (e.g. charges against services/assets in the CMDB)
  • Support to IT Transformation projects and programmes as required.

Additional accountabilities:

Any other duties as deemed necessary to achieve department goals

Qualification and Experience:

Breadth of experience within large scale federated IT service delivery and or management roles – strong knowledge across a range of corporate technologies and services

  • Strong experience of SACM best practice including delivery of capability maturity improvement and continual service improvement
  • ServiceNow CMDB certified, an asset
  • Knowledge of discovery tools and integration with ServiceNow ™
  • Knowledge of Service Mapping with ServiceNow ™
  • ITIL ™ Service Management Certification

  • Provide development expertise for the Intapp product suite (including Intapp Open, Intapp Terms, Intapp Pricing and Wallbuilder and Integration Builder)
  • Work with Application Team members to deliver and maintain a robust solution as is to be expected within a global law firm with cross-regional requirements
  • Provide expert knowledge (SME) on high-level technical system development and support process requirements, as well as on application and system landscape changes
  • Identify technical development gaps and develop gap closure options
  • Able to work, and become a team player, within an applications team of business analysts, testers, support teams and technical staff, and willing to work with the entire team to ensure system issues are resolved quickly and efficiently
  • Work with the Solutions Architect and team lead to manage the environment and development schedules
  • Able to bring system analysis skills to assist in troubleshooting and problem solving, when necessary
  • Able to work in a fast-paced environment with demanding deadlines, and a desire to deliver to milestones is critical
  • Experience working with legal PMS systems (especially SAP) would be a distinct advantage
  • Any other reasonable duties requested by the internal team leaders
  • Able to ensure that the code is robust, and work with the testing teams to ensure that all levels of testing are completed
  • Management of Source Code

Skills Required

  • Experience with Intapp development (workflow, forms integrations), ideally in a legal context
  • Integration experience with a legal PMS system
  • Integration Builder or other ETL Tools development experience
  • Knowledge of API, REST, SOAP Protocols
  • Advanced SQL development skills
  • Experience with Cloud AWS and Azure
  • Experience with reporting development for SAAS solutions
  • Experience with Middleware technologies
  • Knowledge of and experience with Agile development standards

Qualification and Experience:

At least 5 years’ experience with Intapp development, ideally in a legal firm

  • Integration Builder configuration and development experience
  • Web development skills with .NET, REST and SOAP
  • SQL experience for data analysis and manipulation (incl. XML)
  • Excellent analytical and troubleshooting skills

Management and Leadership Experience:

  • Cultural awareness and experience working across different cultures and nationalities
  • Coaching/mentoring less-experienced colleagues
  • Strong leadership and people management skills an asset
  • Experience leading in a matrix organization without formal authority is a plus
