Job Description

Summary of Responsibilities:

Working closely with the University Librarian and other library stakeholders, collaborate with Library staff on the implementation of the strategic and academic plans

In support of the University Librarian, provide strategic leadership and stewardship to the realization of the vision of the Library, and portfolio goals

Lead and supervise teams responsible for acquisition, cataloging and metadata production, serials, bindery, digital collections, scanning, e-reserves, licensing, materials library, and e-resource management, including hiring and orientation, setting goals and objectives, monitoring progress, evaluating employee performance, coaching, and supporting professional development

In consultation with the University Librarian, determine the skills needed for staff development, training and work to enable a highly supportive work environment

In consultation with the University Librarian, participate in the management of the Library budget and make recommendations to the University Librarian on budget reallocations, opportunities for efficiencies, and cost reduction opportunities

Support the University Librarian in the securing of grants, foundation support, industry partnerships, and philanthropy

Work with the University Librarian to assess, review and identify funding sources for new services, new programs and changes in the delivery of existing services to the Library’s communities of users

In consultation with the University Librarian, develop strategic recommendations and library-wide policies related to the operation and development of the Library and its services

In consultation with the University Librarian, participate in the assessment of Library programs, collections, and services as they relate to the evolving needs of students and faculty

Lead the creation of Library-wide policy and programs focused on collections, including acquisition, collection development and management, intellectual access, discovery and integration, assessment, bibliometrics, curation and long-term stewardship

In collaboration with the University Librarian, initiate and support programs that enable transformational, digitally-intensive research at scale, working with Library, campus, and external partners

Provide oversight for the development of print and electronic collections and resources that support research, learning and scholarship, bibliometrics and research impact, program assessment, as well as development and support for emerging areas of digitally-intensive research and knowledge dissemination

Provide the leadership necessary to develop programs within the portfolio and keep portfolio informed of the Library’s policies, plans, and priorities, and foster understanding of and support for these, while providing portfolio development updates to the University Librarian

With input from librarians, and library staff, prepare budget requests, allocate and monitor resources to ensure portfolio priorities are met and expenditures are managed and controlled

Ensure that the needs of library users and opportunities for new programs, systems and services are assessed regularly through consultation with the University Librarian, and with students, staff, faculty, and other stakeholders

Ensure that curriculum changes and program developments affecting the portfolio are reviewed

Lead and participate in projects, working groups and committees related to areas of responsibility

Maintain good working relationships with Deans, Associate Deans, senior administrators, community groups, and others to support the work of the Library and portfolio

Provide strategic leadership in the effective use of the physical facility and all related operational and administrative matters

Work with the University Librarian and Campus Planning & Projects and Facilities & Studio Services staff to ensure that the University provides appropriate space and ensure that the spaces are appropriate for an evolving service model

Maintain a comprehensive understanding of developments affecting academic librarianship

Participate in library liaison activities including reference, collection development, and instruction; this includes working evening and weekend shifts as assigned

Participate on relevant University committees/working groups and external associations and networks as required

Act as designate for the University Librarian, including providing back up for operational leadership and representation at Senate and other University committees, as needed

Assist the University Librarian with special projects and initiatives, as well as related functions contributing to the successful operation of the University Library

Qualifications:

Additional graduate degree in History of Art, History of Design, Computer Science, or similar preferred

Minimum of five (5) years of experience developing and leading programs in one or more of the following areas: technical services, library systems/technology, collections management and assessment

Minimum of five (5) years of experience in library management and/or leadership positions with proven administrative, public relations, and managerial skills; supervisory and management experience in a unionized environment, preferred

Experience with organizational change and change management best practices with an ability to develop and implement strategic change enablement plans considered an asset

A creative approach to finding new solutions, developing processes and reconfiguring services

Proven planning, budgeting, and project management skills

Alma and Primo certification preferred

Working knowledge of cataloging and metadata schemas and standards, such as MARC21, RDA, AACR2, LCSH, EAD, MODS, Dublin Core, and emerging linked data standards, preferred

Demonstrated proficiency with systems and technologies for digital collection management and working experience with rights management systems

Knowledge of HTML/XML, CSS/XLS, Microsoft Excel, content management systems, visualization tools, web design

Strong interpersonal skills and the ability to function effectively as a member of a management team working within a collegial environment and experience in building and managing relationships at all levels of the organization

Excellent oral and written communication and presentation skills, and proven research abilities

Demonstrated familiarity with developments in higher education and the issues facing research libraries, especially in North America, and an understanding of academic and scholarly processes

A proven commitment to service excellence and a vision of research library services in the 21st century and the skills to advocate for and communicate that vision

Ability to exercise a high level of diplomacy, tact and discretion when working with information of a confidential and/or sensitive nature and in dealing with various levels of senior administration and external agencies

Demonstrated ability to contribute to the Library’s sense of community and achievement of common goals through cooperation across units/groups and encouragement of equitable and balanced involvement in decision making

Academic Staffing and Planning:

In conjunction with the Associate Dean of Academic Affairs and the Manager, Faculty of Art Office, ensure business continuity by developing annual course scheduling and faculty assignments in First Year.

Oversee the work of curriculum leaders and faculty working on special projects and initiatives

Actively facilitate the faculty hiring process by coordinating and Chairing search committees for Tenure-Track, Continuing, CLTA, Teaching-Intensive Stream (TIS), and Sessional faculty appointments

In consultation with the Associate Dean, Academic Affairs, provide input in faculty performance reviews and interviews

Maximize the effectiveness of administrative structures and promote an environment that supports equity, diversity, and inclusion within the Faculty of Art

Outreach and Fundraising:

Act as an ambassador and spokesperson for First-Year and work with the Dean and Associate Deans on fundraising initiatives and creative leadership projects

Provide stewardship and continuity for existing relationships with donors and external partners/projects

Communication and Representation:

Work with the Dean, Associate Deans and other Chairs to communicate and consult regularly with students and faculty regarding matters pertaining to the designated programs and the Faculty as a whole

Hold regular faculty and student office hours and provide monthly reports to the Dean

Liaise with various University offices and stakeholders and participate in academic committees and University governance

In consultation with the Office Manager, assign and oversee the work of the Program Assistant and provide input in her/his annual performance reviews and setting of annual objectives

In conjunction with the Associate Dean, Outreach and Innovation, other Chairs, Studio Management, and IT Services and Facilities, support the management of facilities and allocation of resources and address issues arising from studio, computer and classroom facilities and ensure Health and Safety

Qualifications:

Must currently hold a tenured or tenure-track appointment at OCAD University

A minimum of five (5) years of teaching experience with an excellent record of professional activity in one of the art disciplines, as well as an affinity for cross-disciplinary dialogue and collaboration

Demonstrated academic leadership, collegiality and conflict resolution skills, and the ability to take initiative

Demonstrated commitment to the principles of equity and diversity, and proven ability to work effectively and collegially with a diverse population

A familiarity with and respect for the diverse range of current issues in contemporary art and post-secondary education

Understanding of OCAD U Strategic and Academic Plans

Excellent oral and written communication skills and organizational abilities

Terms of Employment:

This role includes an annual stipend with access to professional development funding. This position is only open to current OCAD U Faculty members with Tenure-Track or Tenured status.

Summary of Responsibilities:

  • Maintain and coordinate the schedule of the Dean and/or designate, including scheduling meetings, preparing documents and pertinent background information for the Dean and/or designate and other attendees, and conducting follow up on issues as advised by the Dean and/or designate;
  • Process and respond, as appropriate, to incoming e-mail and regular mail, and draft correspondence for the Dean and/or designate;
  • Provide note-taking support in meetings as required;
  • Provide administrative support to ad-hoc committees as required, including scheduling meetings, booking rooms, writing and editing minutes and preparing and distributing meeting materials;
  • Track deliverable dates for projects, grant applications, reports, events etc. and in consultation with the Dean and/or designate, ensure that required information is compiled and any necessary documentation is completed in advance of deadlines;
  • Develop materials (presentation and otherwise) as required under direction of the Dean and/or designate;
  • Prepare briefing materials for the Dean and/or designate in advance of meetings, including minutes, agendas, reports and updates;

Hours of Work:

This opportunity is part-time (Monday to Friday, 17.5 hours per week) depending on the availability of the candidate. This is a temporary 1 year contract, subject to annual review.

Due to the COVID-19, the University is operating under a work from home program. At this time, the plan is to continue the work from home program until August 13, 2021, and as such the incumbent in this role will be working remotely during this time.

Job Description

QUALIFICATIONS: 

The successful applicant should have a PhD or Master’s in relevant discipline and/or equivalent professional/practical experience with a high level of expertise in the relevant subject, and outstanding communication skills. Postsecondary teaching experience is an asset. Demonstrated commitment to the principles of equity and diversity, and proven ability to work effectively and collegially with a diverse population.

 

TERMS OF EMPLOYMENT:

Sessional appointments are fixed-term annual contracts of up to three half-credit courses per academic year. Sessional compensation includes a per-course pay scale with salary level of $6,316.00 plus 7% in lieu of benefits and vacation pay per the provisions of the Employment Standards Act. These positions are subject to budgetary approval and satisfactory enrolment levels.

FACULTY OF ART

ASSOCIATE DEAN, ACADEMIC AFFAIRS

Reporting to the Dean, Faculty of Art, the Associate Dean, Academic Affairs plays a vital role within the Faculty of Art’s administrative team. The Associate Dean is responsible for oversight and management of the Faculty of Art curricular management, faculty teaching support and performance, as well as student issues related to teaching and curriculum. The Associate Dean champions the processes of decolonizing and diversifying the Faculty of Art’s curriculum, as proposed in OCAD University’s developing Academic Plan. Commensurate with this opportunity is a Tenured appointment at the rank of Associate Professor.

Summary of Responsibilities:

Visionary
• In conjunction with the Dean, Faculty of Art, provide oversight and leadership implementing the Academic Plan, with an emphasis on decolonizing and Indigenizing the curriculum while continuing to support diversity and equity in curriculum development and research
• In conjunction with the Dean, provide oversight and leadership in course planning, including stewardship of the quality, maintenance, and transformation of Faculty of Art curriculum; with a particular focus on innovative and accessible delivery models, sustainability, interdisciplinary, student mobility, and experiential learning
• Ensure that students are informed by a wide spectrum of knowledge and experience embodied in an inclusive variety of communities, philosophies and ways of knowing
• In consultation with the Dean and delegates develop curriculum connections with industry partners
• In consultation with the Dean and delegates develop a culture for the Scholarship of Learning and Teaching and the Scholarship of Engagement
• Provide support and act as a liaison to the Indigenous Visual Cultural Program (INVC)

Strategic

• In conjunction with the Faculty of Art leadership team, develop and implement the strategic vision of the Faculty of Art in accordance with the University academic and strategic planning documents, including OCAD U’s strategic equity priorities to manage and diversify student enrollment, grow and diversify the faculty complement, and manage programs
• In conjunction with the Dean, (and with consultation with the Director, Facilities & Studio Services, Chief Information Officer, Program Chairs, Director, Safety & Security Services, and individual faculty [as required]) coordinate space and equipment planning and budgeting related to facilities that support the curricular needs of the Faculty of Art
• In conjunction with the Dean and Director, Academic Relations, participate in the planning and preparation of the annual budget for the Faculty of Art
• Work closely with the Dean on strategic enrolment management including admission and retention targets, and enrolment number projections and analysis related to curricular offerings and budgets for the number of sections and faculty complement

Operational

• Conduct faculty performance evaluations for CLTA, Continuing, Teaching Intensive Stream, Tenure-Track and Tenured faculty in accordance with the Memorandum of Agreement (MOA) and University policy
• Facilitate the Faculty of Art professional development activities including acting as liaison between the Faculty of Art and the Faculty Curriculum and Development Centre (FCDC), the Writing and Learning Centre (WLC), and other departments on faculty training, sabbatical applications, reports and presentations
• Facilitate the resolution of individual faculty and student matters as they pertain to courses, scheduling, and program plans
• In conjunction with the faculty, Vice-Provost, Students and International, Student Advisors and Program Assistants, ensure students are appropriately informed about Art program courses, graduation requirements, and program plans, and make referrals as appropriate
• Work with the Dean to communicate and consult regularly with students and faculty regarding matters pertaining to the Faculty of Art
• Liaise and work with the Director, Teaching & Learning, on issues relating to literacy and student learning
• Liaise and work with the FCDC on issues relating to curriculum mapping, new curriculum development, faculty professional development, and pedagogy
• Assist the Dean in other related tasks that contribute to the successful operation of the Faculty of Art
• Ensure the academic excellence and integrity of the Faculty of Art programs as well as alignment of all teaching and learning practices with academic standards and university policies

Qualifications:

• Terminal degree in a relevant field of artistic practice and/or research area
• A minimum of five (5) years’ experience teaching at the post-secondary level and an excellent record of professional/scholarly activity
• Prior experience in educational administration is considered an asset
• Relevant experience and an understanding of one or more of the programs offered in the Faculty of Art: Contemporary Drawing and Painting, Printmaking, Integrated Media, Sculpture/Installation, Photography, Criticism and Curatorial Practice or Cross-Disciplinary Art Practices
• Demonstrated leadership and experience promoting a respectful and inclusive work and learning environment for students, staff, and faculty
• Demonstrated knowledge relevant to decolonizing, Indigenizing, and diversifying curriculum
• A familiarity with and respect for the diverse range of current issues in post-secondary education
• Excellent oral and written communication skills and organizational abilities
• Demonstrated collegiality and ability to take initiative
• Experience working with strategic and academic plans; experience working within a unionized environment an asset
• Demonstrated commitment to the principles of equity and diversity and experience promoting a respectful work and learning environment for students, staff and faculty

Terms of Employment:

The appointment will be made for a 3 year appointment, from July 1, 2021 to June 30, 2024. This position is full-time and consists of approximately 60% – 80% administrative release, the scheduling of which will be determined in consultation with and agreement of the Dean, Faculty of Art. This academic leadership role includes an annual stipend with access to professional development funding.
