Purpose: The Assistant Branch Administrator/Senior Associate is responsible for supporting the Branch and Producing Branch Manager in ensuring a high level of success is achieved through effective operations, client service and administrative efficiencies. This position may also be required to act as back up to the Branch Systems Administrator.

Key Accountabilities: 

Assist in the management of branch support staff by:
•    Resolving escalated issues
•    Providing ongoing employee recognition
•    Acting as a resource to provide information, contacts and direction for questions and escalations

Assist the Branch Management Team by:
•    Completing all administrative duties, including filing, storage and report distribution
•    Processing all expenses and following up on outstanding issues
•    Building spreadsheets and maintaining databases as necessary
•    Running or assisting management with New Issues
•    Compiling documentation regarding compliance issues
•    Co-ordinating and tracking daily and monthly supervision requests as directed by Branch Manager
•    Maintaining compliance spreadsheets (Insider and Control Block, etc)
•    Completing and submitting the Monthly Error Report
•    Maintaining the Branch Research Distribution System
•    Assisting with the execution and implementation of procedures to ensure compliance with corporate policies and industry regulations
•    Administering the branch client account (house accounts)
•    Co-ordinating building facilities maintenance
•    Scheduling branch meetings, including external speakers
•    Assisting with interviews of support staff
•    Ensuring the quality and efficiency of branch operations
•    Onboarding of new experienced Advisors and their teams, by acting as a resource and liaison
•    Working to resolve any issues on systems that have been escalated by Branch Systems Administrator (BSA)

Ensure a high level of client service as required by:
•    Entering client trades
•    Ensuring the suitability of client recommendations, and that they are in line with the clients’ financial goals, objectives and risk tolerance
•    Understanding client profiles and that the Advisor’s investment strategy being used to implement client objectives.
•    Ensuring non-solicited trades meet the client risk tolerance
•    Following up with clients on missing documentation required as per the industry regulatory requirements
•    Maintaining client files and information of the appropriate systems.
•    Checking daily trades and all system entries in accounts for timelines and accuracy
•    Responding to client inquiries in a timely, responsive manner
•    Resolving issues and effecting client transactions expeditiously and accurately, escalating issues to Advisor when appropriate.
•    Issue instructions for client withdrawals, deposits, swaps, and transfers according to client or Advisor’s instructions
•    Reviewing processes to improve administrative efficiencies
•    Preparing, analyzing, and presenting to the Advisor for review. (i.e., reports and recommendations, financial plans/concepts, insurance, annual trading summary etc.)
•    Adhering to all firm and regulatory policies by remaining up to date with all the regulatory rules and trading activities as it relates to a client’s account and ensuring that any client interaction is accurately documented.
•    Providing recommendations for improvement to business processes, additional value to clients, utilization of our Team of Experts, etc.

Following a comprehensive financial planning framework, you will be responsible for driving investment sales and new client acquisition, while adhering to Global Sales Principles, compliance and regulatory requirements as well as establishing business development opportunities with prospects and clients within the assigned market area. Key Accountabilities
Promote the development and sustainable growth of proprietary investment business in the assigned market area by:
• Executing on business development plans for prospects and existing clients within the mass affluent market
• Conducting outbound communications and proactive calling to prospects to remain top-of-mind for future business opportunities
• Providing client-centric investment solutions through a financial planning framework, aligning with Global Sales Principles
• Conducting complimentary needs analysis across several financial statements, including competitor statements
• Building and maintaining a market profile in the assigned market area
• Participating in local professional and community events and associations to develop and expand your network
• Identifying opportunities to deliver community information sessions and financial seminars to grow prospects
• Networking with investment industry specialists while managing a small budget for independent marketing-based activities
• Identifying additional investment business development opportunities and facilitating the implementation of an investment solution and/or referral to the appropriate partners
• Facilitating a culture of open and honest communication by actively participating and contributing on team touch bases and meetings with colleaguesDesired Skills &

Experience

• Post-secondary education in Business or related field
• Financial Planning Designation (PFP) or Certified Financial Planner (CFP)
• Mutual Fund License
• 3+ years of financial planning and investment sales experience
• Proven networking, client acquisition and interpersonal skills; experience building and maintaining Centres of Influence (COIs)
• Advanced knowledge of practical sales techniques and prospecting
• Highly effective verbal and written communication skills
• Ability to work independently as a self-motivated entrepreneur with minimal supervision and as part of a larger team
• Extensive knowledge of competitive offerings, market trends, economic conditions, and the regulatory environment
• A valid driver’s license and access to a vehicle, in order to meet clients and prospects within the designated district
• Second language an asset depending on target marketsOther Information
Please note that the compensation structure for this role is base plus variable pay. This is a mobile role and will require frequent travel.
