JOB TITLE:

 Assistant, Publications and Subscriptions

SUMMARY OF RESPONSIBILITIES:

• Proof reading of ‘Minimum Equipment Lists” (MEL);
• Control and distribution of Operational Publications such as AFMs, QRHs, etc;
• Control of Operational Vendor subscriptions such as SATCOM, GOGO, etc;
• Verify/ review applicable Listings, Documents and Systems to ensure they are current;
• Issuing and keeping track of publications and subscriptions transmittal forms;
• Responsible for the control and distribution of applicable passwords;
• Upload of applicable documents on applicable network such as SharePoint and E-Man;
• Managing ELT beacon registration with applicable Federal Authorities;
• Coding of Vendor and Regulatory CAA invoices;
• Maintain ELT registration to Search and Rescue – (Canada and US)
• Update Airworthiness Report in each aircraft file, once per year;
• Update/ input MEL revisions in Salesforce (Air table) – access to Saleforce is required;
• Update/ document Survival Kit content documentation for each aircraft;
• SELCAL application and verification.

QUALIFICATIONS AND SKILLS REQUIRED:

• High School Diploma is preferred;
• Experience in aviation is an asset;
• Proficiency with MS suite (Word and Excel) is a must;
• Knowledge of E-Man and SharePoint is an asset;
• Must be detail-oriented;
• Strong team-oriented skills;
• Excellent communication skills in English (spoken and written);
• Knowledge of French is an asset;
• Ability to work under pressure and demonstrate strong organizational skills.

SUMMARY OF RESPONSIBILITIES:

  • Provide administrative support to the crew members by:
  • Completing payroll paperwork for the pilots, assigned PAOBDs, and assigned AMEs;
  • Monitoring annual pay increases for pilots and drafts Personal Action Forms (PAFs);
  • Issuing and sending monthly flight logs to all pilots (upon request) and makes corrections as required;
  • Tracking vacation and sick days for pilots through FOS and ADP;
  • Supporting the onboarding of new crew members by organizing AMEXs, calling cards, ID cards, uniforms, etc.;
  • Responding to pilot inquiries;
  • Provide administrative support to the Flight Operations function by:
  • Keeping charter customers EJM and ARG/US databases up to date with pilot and aircraft information;
  • Coordinating various aircraft subscriptions (initial and renewals for CFS, US Decal, radio license, CoI’s, etc.);
  • Coordinating applications to the different Foreign Civil Aviation authorities (MEX GCM, BGI, ITAY, SING);
  • Maintaining Fleet Listing with various service providers such as Eurocontrol, Nav Canada, etc.;
  • Supporting the Certificate of Registration initial and renewal process;
  • Completing monthly expense claims and reconcile monthly credit cards (AMEX, MC) statements for Flight Operations management;
  • Completing the new aircraft and departing aircraft checklists;
  • Assisting with Flight Ops Quality Assurance as required;
  • Managing vendor invoices related to flight operations (ARINC, OBDS, etc.);
  • Managing internal invoices related to flight operations and ensures the accuracy of invoicing from flight operations to our clients;
  • Completing other administrative duties as assigned by Director, Flight Operations and National and/or Deputy Chief Pilots.

QUALIFICATIONS AND REQUIRED SKILLS:

  • Minimum of 3 years’ experience in administrative or support role, ideally in an aviation management or related business;
  • Post-secondary education in aviation management is an asset;
  • Competence and confidence with the use of a variety of computer/IT programs/platforms;
  • Advanced proficiency in MS Office (Outlook, Excel, Word and PowerPoint);
  • Proficiency in, or a working knowledge of FOS is an asset;
  • Superior customer service, communication and relationship building skills;
  • Bilingualism in French and English (written and spoken) is highly desired;
  • Highly organized and detail oriented;
  • Self-motivated with the ability to multi-task and work in a fast paced environment;
  • Strong team player.
