Job Summary:

The Curriculum Systems Analyst reports to the Director, Centre for Institutional Quality Enhancement. The position is responsible for the coordination and production of both the undergraduate and graduate academic calendars and manages the university’s curriculum and calendar management systems. The role analyzes curriculum processes and problems to provide recommendations and solutions with the goal of enhancing curriculum management processes university-wide. The role is also responsible for the training of all curriculum and calendar system users and acts as the primary point of contact with the vendor for all troubleshooting-related issues.

Nature of work:

Reporting to the Director of the Centre for Institutional Quality Enhancement, the Curriculum Systems Analyst works in close collaboration with staff, faculty, deans, and colleagues in the Provost Office to support effective curriculum management and quality enhancement of programs and courses.

Responsibilities/accountabilities:

  1. Coordination and production of the undergraduate and graduate calendars:
  • Write, edit, track revisions, maintain amendments and publish the calendars using the university’s online calendar management system.
  • Ensure the academic calendars follow the university’s Editorial Style Guide and Brand Standards.
  • Develop timelines, production schedules and processes for content collection and updating of the academic calendars.
  • Communicate and collaborate with university-wide contacts, including the faculties, to create the calendar content, edit and revise as required, and ensure that all protocols for approval are followed.
  • Cross-reference proposed revisions with appropriate curriculum and policy documents to ensure changes are accurate and fully approved through the required channels of governance.
  • Create professional and accurate calendars that provide the student population and university staff and faculty with appropriate academic program information and policies.
  • Act as a liaison to communicate updated information to applicable departments across the university.
  1. Manager the University’s online curriculum and calendar management tools:
  • Work with the external vendor to coordinate, problem solve and ensure the curriculum management tool is in full compliance with our curriculum governance policies and processes.
  • Work with the external vendor to troubleshoot and problem solve any issues that arise with the calendar management system.
  • Analyze existing processes and related systems to recommend and execute solutions using the curriculum and calendar management tools.
  • Manage the full integration of the curriculum management tool with the online academic calendars and other university-wide systems where applicable.
  • Work with faculty contacts and other key departments across campus to ensure that the tools are user-friendly and that the systems capture all required information to meet our stakeholders’ needs.
  1. Communication support and training for curriculum and calendar management tools:
  • Design, develop, manage and deliver all virtual and in-person (as required) training programs for new users of the curriculum and calendar management systems across all faculties, and other applicable departments, at the university.
  • Ensure the learning outcomes of the training sessions have been met and provide ongoing support to existing users as needed.
  • Provide system demonstrations to faculty contacts, committee members, senior leadership and other departments on campus to show features, functionality and resulting process improvements as needed.
  1. Quality enhancement analysis:
    • Analyze and review all curriculum-related proposals entered into the curriculum management tool in conjunction with the Curriculum and Pathways Analyst, to ensure that proposals follow applicable policies and procedures, and that they are entered correctly to be integrated successfully with the calendar management system.
    • Provide reports and analysis on curricular changes university-wide.
    • Research best practices for program creation, approval and modification.
    • Stay abreast of new technologies and their applications to continuously improve the overall calendar and curriculum management process university-wide.
    • Update CIQE webpages as needed.
    • Other duties as assigned by the Director.

Required Skills

    • General knowledge of web technologies; data analysis experience and programming skills an asset.
    • Strong strategic, analytical and critical-thinking skills and excellent ability in writing reports and delivering presentations destined for senior administration and other decision-making bodies.
    • Demonstrated ability to work effectively with a wide variety of people, superior interpersonal skills; excellent communication and negotiation skills.

  1. Student Counselling

Provides individual and group counselling and support for all students and recent graduates and develops and implements career development supports.  These include:

  • Counselling students (undergraduate, graduate and alumni) to identify their academic strengths and weaknesses by assessing their skills, values and interests and understanding how they relate to academic and co-curricular options and career opportunities.
  • Educating students on the career development process, and supporting them in making decisions about careers and employment through individual counselling, drop-in sessions, workshops, resource development and other services.
  • Assisting students and recent graduates with the acquisition of relevant and current information (print and electronic) about careers and the labor market and models techniques to aid students in developing their work search knowledge, skills and strategies.

  1. Career Development Programming

Leads in the design, development and implementation of career development programming for students that is grounded in theory and research.  This includes:

  • Developing and delivering career development programming for students, including transition programs, career development workshops, and discussion groups.
  • Collaborating with student groups to organize and facilitate career exploration panels, and to take advantage of career services as early as possible in their academic programs.
  • Developing information sessions and resources for instructors on strategies to support career development initiatives in courses and programs.

The Information and Client Services (ICS) department is one of the first points of contact for Ontario Tech University undergraduate students, and we believe that all interactions here should be transformational over transactional. The primary purpose of this position is to provide administrative support to the Integrated and Financial Services department. As such, we are seeking a creative individual that thrives in working in multiple systems that support our day-to-day operations: maintaining, updating and troubleshooting, as well as pulling analytics. (Although some previous knowledge of these systems would be an asset, we are aware that due to the diverse and multiple systems we work in, this may not always be possible.) Further, the incumbent will maintain a knowledge base of all departments in the Office of the Registrar in order to provide support to the frontline ICS Coordinator II’s and area specialists.

Responsibilities/accountabilities:

Provide stellar customer service which includes responding to student queries via email, along with occasional phone calls and front-line coverage (during peak cycles).
Sort, categorize and respond to emails in a timely manner.
Troubleshoot client problems effectively, identify and analyze any student escalations, and provide accurate solutions or referrals to management or area experts.
Respond to student requests for information about their student records.
Responsible for administrative support for all Office of the Registrar departments including OSAP processing, registrarial functions, admissions, recruitment, records and occasionally scheduling.
Coordinate the work flow in the student information systems, such as BDMS, Banner, Bursary Recording System, and the Ministry portal.
Maintain a knowledge base of all departments in the Office of the Registrar to provide information, perform student service transactions and provide timely referrals to area specialists, academic advisors and other University staff.
Pull, analyze, and organize data analytics on call performance, survey feedback, etc. and then disseminate to required stakeholders.
Review and update out-of-office communications for the email and phone systems.
Coordinate student-facing communications for all registrarial related areas.
Review web content and work with the Manager and Coordinator II’s to update content – specifically to the Registration Guide.
Coordinate workflow required for system generated and manual OSAP Confirmation of Enrolments.
Responsible for processing supporting documentation for OSAP.
Assist with Campus ID duties including, responding to student/faculty/staff queries, printing Campus Cards, verifying student ID, and mailing out cards.
Assist the Financial Aid team in administering student account deferments.
Process fee charges to student accounts.

Responsibilities ­may also include:

Provide in-person (when on-campus) and webinar presentations to high schools, faculty advisors and students on registration activities.
Confirm T2202 course detail parameters in compliance with Canada Revenue Agency tax rules. Process information, including compile, calculate, tabulate, audit and verify tax related information or data.
Work in the Q-flow system; liaise with the developers at Q-flow to troubleshoot and to develop new solutions for bottlenecks in service.
Other duties as assigned by the Manager.

Nature of work:

Responsibilities/accountabilities:

  • Coordination of quarterly analysis which includes reconciliation and reporting for accounts receivable and accounts payables
  • Coordination for both interim and annual audit working papers for accounts receivable and accounts payables
  • Oversee Student Fee Remittances, analyze and reconcile a select number of student fees in keeping with external payment deadlines for various University programs (UHIP, Health and Dental, and Legal Aid)
  • Assessment, reconciliation and remittance of HST on a monthly basis
  • Manage Corporate Credit Cards which includes:
  • Download monthly statements and reports
  • act as backup for editing / maintaining cardholder accounts.

Job Summary:

The Faculty of Science invites applications for a contract Forensic Science Instructor in the FEPAC accredited Forensic Science program. Reporting to the Program Laboratory Coordinator, the Instructor provides instruction to undergraduate students in Crime Scene Science (FSCI 2010), Criminalistics I (FSCI 3010), Criminalistics II (FSCI 3030) and Mock Crime Scene Practicum (FSCI 4460).

Responsibilities/Accountabilities:  The primary responsibility of the applicant is to teach crime scene science and criminalistics laboratories at the university level. In keeping with a technology-enhanced learning environment utilizing laptop computers and wireless connectivity, they will deliver innovative applied forensic content that includes a variety of inclusive teaching and learning strategies.

  • The position extends from September 2021 until April 2022.
  • Responsible for the successful delivery of all laboratory sessions for Crime Scene Science (Fall 2021; 4 sessions), Criminalistics I (Fall 2021; 3 sessions), and Criminalistics II (Winter 2022; 3 sessions) and Mock Crime Scene Practicum (Winter 2022; 1 session).
  • You will work closely with the Forensic Science Programs’ Laboratory Coordinator to provide support for these courses; including supervising and delivering laboratory sessions; marking assignments, reports, tests, and examinations; answering student questions; maintaining regular office hours as necessary, invigilating examinations and meeting regularly with your supervisors.
Required Skills
  • Experience with criminal case investigations, such as homicides, hit and runs, shootings and sexual assaults
  • Excellent understanding of crime scene documentation and examination techniques, including but not limited too;
  • Protection and integrity of crime scenes and the collection and preservation of evidence
  • Documentation through note-taking, measurements, photography and sketches,
  • Identifying and processing fingerprints, footwear and toolmarks, as well as firearms and ammunition
  • Application and use of forensic light sources
  • Experience with bloodstain pattern analysis will be considered an asset
  • Strong understanding of crime scene photography (day/night), including technical knowledge of digital camera equipment
  • Basic understanding of stereomicroscopy, compound and comparison microscopy
  • Experience providing expert witness testimony for criminal and/or provincial proceedings
  • Familiar with Hemospat and AFIX Tracker software as well as FARO 3D imaging instrumentation
  • Working knowledge of MS suite of programs, in particular Microsoft OneNote

Education:

  • Applicants should possess at least a BSc or equivalent degree, and/or relevant experience in a laboratory or crime scene investigation environment.

Job Description

The Faculty of Health Sciences at Ontario Tech University has an opening for a Postdoctoral Fellow (PDF) in the area of Health Economics, Health Technology Assessment, Health Services Research, or related field. The position is offered for 12 months, preferably starting in January 2021, ‎subject to funding approval and may be extended contingent upon research performance.

Responsibilities/Accountabilities:

This is a two-year post-doctoral internship co-funded by Ontario Shores Centre for Mental Health Sciences and Mitacs. Ontario Shores is a specialized mental health hospital in Ontario, Canada that serves a population of 2.8 million people. The hospital has 18 patient care units, 346 inpatient beds, and has over 94,000 outpatient visits annually.

The intern will lead a research project that will evaluate the effectiveness and cost-effectiveness of a multi-modal cognitive behavioural therapy (CBT) program at Ontario Shores. The work will involve the collection and analysis of administrative health data housed at Ontario Shores. It will also require the intern to work onsite at Ontario Shores Centre for Mental Health Sciences with local researchers and clinicians. The intern will have the opportunity to work with administrative data at Ontario Shores, engage with staff at the hospital, and conduct work that will benefit the intern (publications, conference presentations) and the delivery of the CBT program.

The intern will be mentored by Dr. David Rudoler, Assistant Professor at Ontario Tech University. Dr. Rudoler is an interdisciplinary health services researcher. His research focuses on the delivery of primary care and mental health services, as well as the use of administrative data to evaluate health care programs and policies.

Required Skills

  • Experience working with and analysing administrative health data
  • Expertise in methods of economic evaluation or health technology assessment, including decision modeling
  • Training in econometrics or biostatistics
  • Self-directed and independent researcher
  • Ability to work as part of an interdisciplinary team
  • Excellent communication skills, both written and verbal

Education:

  • PhD in health economics, health technology assessment, health services research, or related field.

Job Description

The Assistant Student Recruiter Level 1 promotes Ontario Tech University’s undergraduate degree programs. Presenting information to guidance counsellors, prospective students and parents, this role is focused on informing prospective students about Ontario Tech. This is primarily accomplished through a combination of in-person and virtual recruitment (all recruitment is currently virtual due to COVID-19 restrictions). The main objective of this position is presenting to high schools and engaging one-on-one with prospective students and applicants to convert to enrolments.

Nature of work:

This position reports to the Director of Admissions and Recruitment, with daily guidance from the Senior Recruitment Officer. The Assistant Student Recruiter Level 1 will meet with students from across the province of Ontario, representing Ontario Tech at education fairs, secondary school and college visits. The incumbent will be responsible for advising prospective students, parents, guidance counsellors, teachers, and the general community across Ontario on academic program options available at Ontario Tech, while providing exemplary customer service.

Responsibilities/accountabilities:

• Increase brand awareness of Ontario Tech undergraduate programs to grow enrolment through in-person and virtual presentations and attendance at various high school, college and community events (in-person activities are currently suspended due to COVID-19 restrictions)
• Attend both on and off campus events across the province
• Inform students via presentations and personal conversations about programs offered at Ontario Tech
• Enhance existing and develop new relationships with schools, guidance counsellors and teachers
• Provide basic academic counselling and advising to prospective students. Respond to queries related to university admission requirements, programs, services and Student Life.
• Increase applicant market-share, in order to meet the goals as outlined in the Ontario Tech recruitment plan.
• Reach out to prospective students to offer support throughout the recruitment, admissions and registration process, and during their transition to the university.

Required Skills

• Demonstrated oral and written communication skills with an emphasis on presentation to external contacts.
• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
• Strong technical/multi-media skills.
• Must be flexible to deal with a variety of clients; secondary, non-secondary, non-traditional, parents, teachers and guidance counsellors
• Strong organizational and administrative skills
• Flexibility to work irregular hours and ability to travel extensively throughout Ontario. Travel can be 2-3 weeks at a time, with extended work days of 12-14 hours. Regular weekend work is required.
• Ability to multi-task and maintain an organized and effective personal work environment.
• Positive, outgoing attitude with genuine customer service orientation.
• A strong record of teamwork, with the motivation and ability to work independently with little supervision.
• Proficiency in using advanced features associated with the current versions of Word, Excel, Access and PowerPoint required.
• Valid Ontario Driver’s License (Class G) is required.
• Clear Criminal Reference Check with Vulnerable Sector Screening is required.
• Must be physically capable of performing duties as assigned, including driving and standing for lengthy periods and lifting display units and boxes weighing up to 25kg.
• Significant and detailed level of knowledge of the Ontario Tech university environment and structure.
• Ability to maintain a high level of professionalism and respect for students, staff and faculty.

Education

• Must have completed an undergraduate degree by November 2020, specifically in a discipline related to Ontario Tech programming. Degree from Ontario Tech is strongly preferred.
• Verification of Academic credentials may be required

Note: Each candidate will be required to make a 15 minute presentation as part of the selection process.
