Job Description

The Real Estate Assistant performs property management functions of a less-complex nature including administering standardized agreements for low risk uses such as short-term agreements, barge moorage and log storage property agreements, recreational docks, and filming as assigned.  The role also provides administrative support to senior real estate staff and managers on real estate matters.

The Real Estate Assistant will:

Property Agreements

  • In accordance with VFPA policies and guidelines, administers less-complex standardized lease and license agreements, for lower risk uses including Short Term Use, Log Storage, Barge Moorage and Recreational Docks, and including but not limited to new agreements, amendments, assignments, terminations and other routine agreements for the use of VFPA property under the guidance of senior departmental employees and/or managers
  • Draft submissions and other documentation as required for management approvals
  • Conduct routine site inspections as required to ensure compliance with agreement terms and identify unauthorized use of VFPA property
  • Communicate with tenants/licensees regarding agreement terms.  Collect rents and other charges as required

Short Term Use

  • Administer the short term use of VFPA property from initiation through to execution of short term use agreements with terms and charges in accordance with VFPA’s Short Term Use Guidelines
  • Coordinate appropriate requirements from relevant internal/external contacts
  • Prepare contracts for signature and ensure receipt of insurance and user charges

Barge Moorage & Log Storage

  • Coordinate property agreements for log storage and barge moorage utilizing VFPA precedent documents and rent calculated in accordance with predetermined rates for such uses

Recreational Docks

  • Coordinate the issuance of agreements utilizing VFPA precedent documents and standardized charges.  Ensure agreements are returned in a timely manner and verify registration in Land Titles Office as required

Departmental Support

  • Compose routine correspondence, as required
  • Provide support to senior departmental employees on agreements as required, including completing due diligence, research, drafting submissions, filing and electronic record keeping etc
  • As assigned, compile reports from available Departmental and Organizational database software
  • Ensure departmental records are up-to-date
  • Ensure receipt of required insurance policies and certificates.  Review insurance documents for consistency with agreement requirements follow up as necessary
  • Compile information or generate reports as assigned

Job Description

Marketing Communications

  • Assist with activities related to the development and implementation of the marketing communications program and related initiatives in support of the marketing plan across the business sectors, and consistent with the port authority’s customer engagement strategy.

Media Planning

  • Alongside the marketing communications advisor, works with advertising agencies to develop and track business-to-business media plans.
  • Writes and produces content for commercial audiences, and coordinate communications in support of customer engagement.
  • Liaises with advertising agency, creative designer, publications and other external contractors.

General Writing and Collateral Development

  • Researches, writes and develops promotional and electronic material for distribution to business audiences and posting on the port authority’s website.
  • Organizes translation as appropriate.
  • Coordinates integrated sector communications collateral and presentations.
  • Writes and produces content for customer communication, as directed.
  • Maintains content on the port’s website sections to support business initiatives.

Customer Engagement and Outreach Support

  • Assists with the development of industry outreach materials such as PowerPoint presentations, briefing notes and event invitations.
  • Maintains a strong understanding of departmental objectives, the port authority’s mission, vision and values and their relevance and integration with customer engagement and outreach initiatives.
  • Prepares detailed documentation for outreach and engagement and assists with other related activities as required.

Business Sponsorships, Trade Shows And Other Promotional Events

  • Participates in the development of the business sponsorship program and coordinates activities as required.
  • Coordinates communications and promotional opportunities with marketing partners and port customers and stakeholders.
  • Coordinates and attends business trade shows as required.
  • Develops speaking notes and promotional material as required.
  • Monitors the budget against the media plan and ensures invoices from outside agencies are correct.

Special Events

  • Coordinates the logistics and assists with the planning of special events including opening ceremonies, harbour tours, receptions, port participation in business sector events, port-hosted conferences, etc.
  • Coordinates the production of events, budgets, critical path time-lines, invitations, collateral materials, signage, bookings, hospitality, entertainment, transportation, and staffing needs.
  • Researches and recommends appropriate event protocols.
