Job Description

Encore Crew Scheduler

Overview of role:

WestJet is seeking a Crew Scheduler reporting into our Encore office. This individual has the ability to demonstrate a high standard of excellence, enjoys challenges, and is results-driven. The incumbent must be highly motivated and demonstrate the ability to work in an agile environment.  Adhering to regulations and communicating with all stakeholder while ensure crew requirements are maintained for “day of” operations in a timely and effective manner. This is a 24/7- 365 days per year position involving shift work.

Key deliverables include:

  • Answer the phone promptly demonstrating an ability to listen and empathize with crew members while ensuring a high level of internal guest satisfaction;
  • Ensure schedule amendments are following Canadian Aviation Regulations (CARS), Commercial Air Service Standards (CASS), the Company Operations Manual (COM), the Flight Attendant Manual (FAM);
  • Monitor and mitigate Crew duty and rest violations;
  • Ensure implementation of IROP (irregular operations) contingency plans and required pairing modifications;
  • Adhere to Flight Operations policies and Inflight Department policies as outlined in the COM, the FAM, the Crew Services Guidelines;
  • Ensure appropriate deadheading arrangements are made, confirmed and tracked for crews;
  • Other duties as assigned.

Experience and qualifications:

  • Minimum 1 year airline experience preferably in an operational role;
  • Previous experience with flight crew schedules and CARS is an asset;
  • Intermediate experience with SabreSonic, MS Word, Outlook and Excel;
  • Strong interpersonal skills and communication skills with the capability of establishing respect and credibility through actions;
  • High degree of motivation and commitment to work independently in a fast-paced, dynamic and ever changing environment;
  • Ability to work with minimal supervision and take responsibility for accomplishing routine tasks;
  • Proven organizational, time management skills and problem solving skills;
  • Ability to multitask in a fast paced, time-sensitive environment;
  • Demonstrate a commitment to teamwork while contributing to a fun and friendly atmosphere;

Job Description

Responsibilities:

  • Accountable for managing and coordinating all activities related to sales and revenue transactions, commission, accounting, and reconciliations at month end
  • Prepare, coordinate and compile supporting documentation for accurate invoicing where required
  • Assist in the month-end close process, including the preparation of month-end journal entries, accruals, reconciliations, and investigating anomalies
  • Build and maintain partnerships with critical internal and external stakeholders to ensure financial activities run smoothly and efficiently
  • Prepare, review, and generate financial and operational data analysis / reports for monthly and quarterly updates, and research accounting issues
  • Manage the different Forms of Payment portfolio – UATP, Gift Card, Credit vouchers, Credit Card and Debit Card settlements
  • Understand ticketing reservation systems and be the liaison person with the reservation team
  • Participate in and lead projects relating to process efficiencies and automation for Revenue Accounting team and in collaboration with other Business groups – Treasury, Charter, Travel Support Team, Customer Care, and Contact Centre
  • Provide expertise on ticketing and proration, to guide and support internal business partners
  • Prepare required documentation as required, including internal controls identification, development, and compliance

Qualifications:

  • Minimum 3-5 years’ experience in an accounting role with progressive levels of responsibility
  • Education: completion or working towards completion of a professional accounting designation preferred (CPA, CA, CMA, CGA)
  • Airline experience, including knowledge of ticketing/booking/proration processes considered an asset
  • Excellent time management, organizational, and interpersonal skills required.
  • Proficiency in Excel (advanced), Word, PowerPoint, Power BI, and other MS office products
  • Proficiency in JD Edwards, Ticketing Reservation and Accounting systems is an asset
  • Ability to communicate effectively (both written and verbal)
  • High degree of diplomacy and good judgement along with the ability to maintain confidentiality
  • Must be detail-oriented and possess the ability to multi-task and meet unexpected deadlines in a demanding environment.
  • Self-starter and manage to deliver on agreed deadlines (may include consultation with leaders and/or team members)
  • Ability to solve a range of straightforward problems; analyzes possible solutions using standard procedures, accounting systems and general WestJet Group systems
  • Seeks assistance from management to resolve more complex situations (e.g., communicates potential challenges and roadblocks to leaders)
  • Works well with others, is collaborative and team orientated
