About the job

Reporting to the Director, National Regulatory and Government Affairs, the Project Specialist will play a key role in the office of Regulatory Affairs. The Specialist will manage the working groups for new programming submissions and assists the Director with overall coordination of the Regulatory Affairs Project Schedule. Additionally, the Specialist will assist with program quality assurances processes and program renewals as needed.
II. DUTIES AND RESPONSIBILITIES
  • Coordinate the Regulatory Affairs Project Schedule, consisting of annual reporting, program renewals, audits, and all other regulatory projects
  • Create and implement workplans for all new programming project timelines with strict achievable deadlines
  • Schedule and attend all meetings for assigned projects
  • Take notes, record action items, and distribute to the project teams
  • Work with all departments of the University to achieve the goals of each project
  • Follow-up with any actions emerging from the project meetings
  • Manage workflow and support each of the working groups
  • Work with the Director to ensure that all submission projects are aligned and synergistic where possible
  • Conduct research/investigate as determined by working groups
  • Other duties as assigned
III. POSITION PROFILE
A. Education and Experience
  • Successfully earned degree
  • 5+ years’ experience with project based operations in one or more of the following environments:
  • post-secondary administration,
  • non-profit organization, or
  • project management.
  • Relevant and demonstrated experience in project management
  • Relevant and demonstrated relationship building experience in multi-stakeholder environments
  • Knowledge of and/or experience working with higher education quality assurance frameworks a definite asset.
B. Required Skills and Abilities
  • Advanced project management and planning abilities with the exceptional ability to think through entire processes before starting a project
  • Demonstrated expertise in using mainstream project management technology (Microsoft Project, Smartsheet, etc.)
  • Superior Microsoft Office Skills, especially in Microsoft Word (ability to create, format, and re-format, large documents)
  • Demonstrated ability in producing detailed meeting agendas and accurate meeting minutes
  • Collaborative, collegial; able to get things done by working with others
  • Meticulous attention to detail
  • Able to follow detailed instructions
  • Exceptional communications skills – both written and verbal
