Job Overview

The Community Programs Administrative Coordinator is a key resource to the Community Programs team, including Youth, Employability, Newcomer Supports, and LEAD programs. The Administrative Coordinator provides confidential, strategic and operational support by planning, organizing and performing a variety of administrative tasks and work projects. These tasks may require independent judgement and time management skills in prioritizing multiple demands and completion of tasks within tight deadlines.

Qualifications and Requirements

  • Degree or diploma in business administration, related field of study or equivalent experience.
  • Understanding of finance and accounting would be an asset.
  • Understanding of Program or Project work would be an asset.
  • Experience and skills in Canva or other design programs an asset.
  • To be able to work effectively as a team member and maintain an open, communicative, and supportive working environment.
  • Independent judgement and time management skills.
  • Effective interpersonal, and organization skills, high level of computer literacy, ability to maintain collaborative partnerships, internal and external to the organization.

Essential Duties of the Position

  • Program Support
  • Program promotion.
  • Internal system for participant registration and intake.
  • Ensuring reporting and evaluation data is collected and stored confidentially.
  • Update and organize program files and folders in online drives.
  • Other tasks as delegated by Program Team Leads.

Community Programs Manager Support

  • Prepares and distributes meeting documents.
  • Research best practice, tools and resources for programs and content.
  • Collects information and data from programs to support development and design.
  • Monthly program “newsletter” to CP team.
  • Other tasks as delegated by Manager.

General Admin Duties

  • Orders or sources supplies as needed.
  • Communicate via email with internal and external stakeholders.
  • Maintains accurate files electronically and in hardcopy to ensure responsible administrative records.

Program Overview

Safer Space is a transitional housing project for victims and survivors (ages 18 – 29) of sexual exploitation and human trafficking. Engaging with the NSTAY (Nova Scotia Transition and Advocacy for Youth) program, this project provides youth in crisis with a safe space to stay so they can stabilize and take the first steps to regaining control over their lives. The program also provides participants with wraparound support and connect them with the services they need.

Role of Support Staff

  • Provide support to participants at Safer Spaces.
  • Assist with programming, including meal preparation, recreational activities.
  • Log writing and other administrative duties.
  • Attend monthly staff meetings.
  • Basic maintenance and cleaning duties.
  • Other duties as directed by the Management or the Safer Spaces coordinator.

Qualifications and Requirements

  • Experience working in a supportive role.
  • Experience working with people from diverse cultural, social and economic backgrounds.
  • Good communication skills: able to negotiate and enforce policies, provide support and encouragement and accurately maintain written logs.
  • Ability to work both independently and as part of a team.
  • Certification in Non-violent Crisis Intervention, First Aid and CPR, ASIST or willingness to obtain these at the start of employment.
  • Enthusiasm and affinity for work with youth and young adults.
  • Flexible, adaptable, and able to work in an environment that is not always predictable.

Program Management

  • Recruits, interviews and screens Care Providers to determine eligibility and suitability for the agency.
  • Responsible for overall management and administration of the FHCC Program, which includes supervision of YWCA staff consultants and their day-to-day responsibilities.
  • Ensures that Care Providers follow regulations, as set out by the Department of Education and Early Childhood Education (DEECD) in order to be in compliance with the agency.
  • Plan and implement services for care providers, such as focus groups, training programs, orientation sessions, and professional development.
  • Plan activities that provide children with developmentally appropriate materials as well as plan play groups.
  • Provide regular program reports to the Director within specific reporting schedule and provides oversight for bi-annual inspection with DEECD.
  • Maintains detailed records, including electronic records, for FHCC program, as well as care providers and consultants.
  • Management of the FHCC office including space, equipment, staffing and the resource lending library.

Financial Management

  • Ensures that the designated projects and program operate within the approved budget, following YWCA’s financial policies.
  • Manages subsidy payments to ensure that Care Providers are adequately and accurately compensated for the families who are eligible for subsidies.
  • Creates annual budgets, subject to Department of Education and Early Childhood Development policies.
  • Provides regular financial reports as required, which may include variance reporting, cash flow projections, income statement review, and updating budget projections.
  • Ensures effective management of all financial records, including management of accounts receivables with care providers and participants.

Qualifications and Requirements

  • Early Childhood Education Degree/Diploma, (Level 2 or 3) in addition to a minimum of 2 years’ experience working in an early learning and childcare program.
  • Excellent verbal and written, problem solving and analytical skills; as well as attention to detail.
  • The successful candidate will understand the complexities of the home day care sector, with detailed knowledge of home requirements, including the home approval process, training, supervising, mentoring, motivating, monitoring, and measuring provider’s performance. This requires core competencies in relationship building, emotional awareness, conflict management, cultural awareness, ethics and integrity.
  • Vast knowledge in Early Childhood Development from 1-12 years is considered an asset. Candidates must have strong administrative skills and an ability to work independently and in a team environment
